Saint Paul Public Schools (SPPS) is seeking a full-time Management Assistant to support the Office of College & Career Readiness, Indian Education Program, and Office of School Support. This position is funded through June 30th, 2027 and may continue pending ongoing funding.

About the Role

Performs responsible work providing staff assistance to management, including research, report preparation, recommendations, grant proposals, liaison duties, public information, budget preparation, and related staff functions for the division or department.

Supervision

Works under the general, technical, and administrative supervision of a higher-level manager. Exercises general, technical, and administrative supervision over clerical, technical, and professional employees.

Responsibilities

  • Directs major administrative functions of the division or department, such as personnel, accounting, or budget.
  • Directs ongoing programs, including preparing funding proposals, monitoring expenditures, and assigning personnel.
  • Directs research, analyzes and evaluates data, and develops proposals based on results.
  • Prepares reports, recommends courses of action, and carries out policy decisions.
  • Reviews and edits reports to ensure clarity, conciseness, proper organization, policy consistency, and suitability for publication.
  • Drafts legislation, provides information to public officials on pending legislation, and monitors progress.
  • Develops programs and plans relating to department activities.
  • Prepares contracts, resolutions, and administrative orders; monitors and coordinates the approval process.
  • Coordinates the dissemination of public information; prepares fact sheets, speeches, presentations, and other materials.
  • Provides staff support for governmental committees; acts as a liaison with community organizations, public agencies, foundations, and intra-district divisions.
  • Supervises assigned office staff.

Requirements

  • Bachelor’s degree.
  • Two years of experience as a Management Assistant 2 or equivalent; or two years of college (including coursework in English composition, mathematics, bookkeeping, or accounting) and two years of administrative experience at the Clerk 4 level or above (involving data collection, analysis, and report writing).
  • No substitution for two years of college.

Preferred Qualifications

  • Knowledge of American Indian Education Programs.
  • Familiarity with Career Pathways, CTE, School Counseling, Social Emotional Learning, and Restorative Practices.
  • Experience with background checks, field trips, and purchasing.

Skills

  • Considerable knowledge of government administrative procedures, grant proposal preparation, and reporting.
  • Considerable knowledge of research techniques and basic accounting principles.
  • Ability to evaluate information and prepare recommendations.
  • Strong oral and written communication skills.
  • Ability to manage resources such as personnel, time, and money.

Pay

Pay range: $72,183 – $100,685. Maximum hiring step is Step Ten (10). The full salary schedule is listed in the PEA contract.

Schedule

12-month position, 40 hours per week.
