About the role
The Administrative Assistant III provides confidential administrative and secretarial support to assigned administrators, conveys information regarding department functions and procedures, and coordinates assigned projects and site activities. This position reports to an administrator.
Responsibilities
- Compiles both confidential and non-confidential data from various sources (e.g., calendars, budgets, inventories, time sheets) to prepare information for assigned administrators.
- Maintains manual and electronic files, department budgets, and accounts (e.g., accounting records, journal entries, substitute records, ESP evaluation tracking) to provide up-to-date reference and audit trails.
- Orders, distributes, and monitors supplies and merchandise to ensure demands are met and items are distributed to proper locations.
- Prepares a wide variety of reports, documents, and correspondence (e.g., iVision reports, TES tracking, evaluations, work orders, school publications, employee absences) to document activities, provide written reference, or convey information.
- Reconciles account balances for assigned budget categories to maintain accurate records.
- Responds to inquiries from internal and external parties (e.g., staff, parents, students, visitors, public agencies) to provide information, facilitate communication, or direct inquiries appropriately.
- Schedules activities (e.g., appointments, AIMS testing, interviews) to make necessary arrangements for assigned administrators and supervisors.
- Supervises assigned personnel (e.g., all ESP) as directed by the administrator to ensure department and individual performance objectives are met.
- Supports assigned administrative and supervisory personnel to assist with their functions and responsibilities.
- Participates in meetings, workshops, and trainings (e.g., site committees) to provide or receive information, record minutes, or support attendees.
- Performs other related duties as assigned to ensure the efficient and effective functioning of the work unit.
Requirements
- High school diploma or equivalent.
- Valid Arizona DPS Level I IVP Fingerprint Clearance Card (www.azdps.gov/services/public/fingerprint).
- Job-related experience with increasing levels of responsibility is desired.
Skills
- Skills: Proficiency in operating standard office equipment, including Microsoft Office products and job-related software applications. Ability to prepare and maintain accurate records, provide customer service, screen telephone calls, analyze budgets and data, and use pertinent software applications.
- Knowledge: Ability to perform basic math (fractions, percents, ratios), read technical information, compose documents, facilitate discussions, and solve practical problems. Knowledge of business telephone etiquette, office machines, grammar and punctuation, office methods and practices, recordkeeping, bookkeeping, and relevant codes/laws/rules/regulations/policies.
- Abilities: Ability to schedule activities, meetings, or events; gather and collate data; and use job-related equipment. Flexibility to work with diverse individuals and data, adapt to changing priorities, communicate effectively, maintain confidentiality, meet deadlines, set priorities, work as part of a team, and handle frequent interruptions. Strong attention to detail and accuracy.
Work Environment
- Occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; significant fine finger dexterity.
- Job requires 85% sitting, 10% walking, and 5% standing.
