About the role
The Administrative Assistant provides superior administrative support to divisional leaders, ensuring organization for ever-changing business calendars and complex schedules. This position thrives on new challenges and the ability to create an efficient, effective, and productive work environment. The candidate will follow corporate and site-specific Good Manufacturing Practices, report noncompliance when observed, and observe all company safety rules while assisting in enforcement as appropriate.
Responsibilities
- Serve as an all-around assistant and support to the executive leadership team.
- Manage all types of daily communications to ensure professional, accurate, and timely responses; prioritize appropriately and direct information to the correct point of contact.
- Handle correspondence internally and externally.
- Plan and coordinate travel logistics, including scheduling flights, hotel accommodations, and ground transportation through the corporate travel system.
- Conduct additional research and special projects as needed.
- Coordinate meetings.
- Prepare, reconcile, and track expense reporting and reimbursement for executive leadership.
- Follow corporate and site-specific Good Manufacturing Practices and report noncompliance when observed.
- Observe all company safety rules and assist in enforcement as appropriate.
- Perform other duties as assigned.
Requirements
- 3+ years of experience in a senior administrative role supporting executives.
- Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint) as well as other web-based programs and video conferencing.
- Ability to adapt procedures, processes, and techniques to align with business needs.
- Excellent organizational, problem-solving, and follow-up skills, with the ability to handle multiple priorities while working under little supervision.
- Exemplary representative of the company at all times, maintaining a professional demeanor and sound decision-making to communicate on an executive level.
- High degree of confidentiality.
- Collaborative team player with a proactive approach; ability to take initiative.
- Flawless skills managing travel and expenses for executive leadership.
- Effective interpersonal and listening skills, telephone etiquette, superior oral and written communication skills, proofreading skills, and attention to detail.
- Bachelor’s degree in business or related field preferred or equivalent experience.
- Working knowledge of Concur and Reqlogic.
- Bilingual (Spanish) preferred.
Schedule
Monday - Friday, 7:00 AM - 4:00 PM, with overtime as required.
Pay
$21.00 per hour.
