Workplace Services Manager
About the role
The Workplace Services Manager Level 1 supports the facilities organization and workplace experience at a specific location, set of buildings, or campus environment. This role is responsible for day‑to‑day implementation of policies, procedures, programs, hospitality services, and workplace services delivery to ensure a well‑managed and well‑maintained building, emphasizing positive client response, environmental health and safety, hospitality, and quality programs.
Responsibilities
- Ensure the day‑to‑day operations of the facility(s) or campus—including reception, events, janitorial, life‑safety, engineering, site services, and general maintenance—are implemented and carried out in accordance with C&W policies and client directives.
- Provide a smooth and seamless employee and guest experience by communicating warmly (both oral and written), clearly, and effectively with employees, guests, hosts, vendors, etc., to meet requests.
- Maintain coverage for the reception area during all business hours and be ready to assist employees.
- Support employees with Lost & Found and luggage management, adhering to established operating procedures.
- Perform general office duties as required, including sorting and delivering mail, handling outgoing shipments, providing wayfinding support, facilitating office tours, and assisting internal clients with logistics needs.
- Welcome all visitors warmly and ensure they are connected with their host while following badging protocol.
- Support executives and VIPs with meeting set‑up, catering, and supply needs.
- Under the direction of Regional Facilities Leadership, respond promptly to building maintenance, repair, and cleaning requests from occupants and implement ongoing contract programs to address and resolve issues.
- Create work orders and assign them to engineering staff, subcontractors, and vendors.
- Report on open and closed work orders and check the status of open work orders with the assigned party.
- Request, review, and submit work orders, bids, and proposals from vendors.
- Verify final invoice pricing and process payments in a timely manner.
- Maintain thorough familiarity with management contracts, vendor agreements, and other building/facility contracts and all associated requirements.
- Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required.
- Proactively inspect the facility, systems, rooms, common areas, etc., and report any findings or issues to Regional Facilities Leadership.

Education
High School Diploma or equivalent from an accredited institution (required). Preferred experience includes customer service, hospitality, or reception; and experience in security, facilities, or access‑control environments.

Pay
The compensation for this position is $28.60 – $33.65 per hour, with competitive pay that may vary based on factors such as geographic location, collective bargaining agreements, market rates, and the candidate’s experience and qualifications.
