Responsibilities
- Resolve vendor repair and maintenance facilities issues.
- Communicate directly with Property Managers and Landlords to facilitate necessary landlord-responsibility property repairs, as needed.
- Manage various utility accounts and conduct quarterly reporting.
- Lead Keycard Inventory Management and provide comprehensive security support, including camera data and access control systems management.
- Oversee copier/postage fleet lease services, including invoicing, end of lease obligations, expense reporting and resolving high-level escalations.
- Provide invoice compliance through supporting purchase order creation and credit card reconciliation.
- Approve punchout orders exceeding company approval threshold.
- Collaborate with cross-functional and regional partners through onboarding new office leaders by conducting meet-and-greets, establishing partnership workflows with National Workplace Operations, training regional leaders on workplace processes and resources.
- Facilitate vendor onboarding process in partnership with Accounts Payable and provide support with billing vendor disputes.
- Support vendor sourcing to ensure high-quality service and cost-effective office operations.
- Maintain oversight and organization of documentation regarding regional nuances (including ordering, approvals & tracking) and team coverage docs.
- Maintain internal team resources such as meetings notes, macros, training materials and team SOPs.
Requirements
- Proven experience in workplace operations, facilities management, or a high-level hospitality/operations role.
- Strong problem-solving and analytical skills, allowing you to adapt and formulate solutions quickly for facilities issues.
- Meticulous attention to detail and highly organized, especially regarding data and vendor management.
- Exceptional verbal and written communication skills for partnering with regional leaders and external property managers.
- Experience working with enterprise technology and systems (such as Zendesk, Salesforce, or Confluence) is a plus.
- A passion for creating community and a world-class experience for our internal customers.
- Ability to work in the office during standard operating hours and lift up to 25 lbs as needed for facilities tasks.
- Willingness to travel 25%-30% of the time.

Pay
Base pay range for this position is $65,000 - $81,300 annually; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonuses and restricted stock units may be provided as part of the compensation package, in addition to a full range of benefits. Base pay is based on market location. Minimum wage for the position will always be met.
