About the role
We are looking for a Workplace Exp Coordinator to create a welcoming, organized, and service-focused environment for employees and visitors in Chicago, IL. This Long-term Contract position supports daily front desk and workplace operations, ensuring smooth site services, clear communication, and a well-managed on-site experience.
Responsibilities
- Welcome employees, visitors, and guests with a welcoming presence while managing check-in procedures, visitor badges, parking access, and site security expectations.
- Coordinate front desk and workplace support tasks such as mail distribution, office supply management, and onboarding setup to help maintain efficient day-to-day operations.
- Respond to questions, service requests, and workplace concerns promptly, providing practical resolutions with a strong customer service approach.
- Organize on-site meetings and events by arranging space preparation, supply delivery, room setup, and post-event breakdown.
- Submit and monitor janitorial and maintenance requests, following through to help ensure building issues are addressed in a timely manner.
- Work closely with external suppliers and service providers to support workplace needs and maintain consistent service delivery.
- Follow building-specific safety, security, and emergency procedures, escalating concerns to the appropriate contacts when needed.
- Prepare clear updates, explain information to team members or visitors, and support presentations or group communications as required.
Requirements
- High school diploma or equivalent and up to 2 years of experience in front desk, office coordination, or workplace support roles.
- Ability to follow established procedures, complete routine tasks accurately, and manage responsibilities with attention to detail.
- Strong verbal and written communication skills for handling everyday interactions with employees, guests, and vendors.
- Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook.
- Solid organizational skills with the ability to manage multiple requests and priorities throughout the day.
- Customer-focused mindset with a detail-oriented approach to resolving questions, issues, and service needs.
- Comfortable working on-site in a structured office environment during standard weekday business hours.
