About the role
The primary focus of the Worker's Compensation Coordinator is to assist field staff and profit centers with processing Workers’ Compensation claims, Certificate of Insurance requests, and proper assignment of Workers’ Compensation codes. This role requires consistent communication with field offices, profit centers, insurance carriers, third-party administrators (TPA), medical providers, and the Loss Control team. Accurate logging of all interactions in the system is critical.
Responsibilities
- Process and manage Workers’ Compensation claims from beginning to end.
- Maintain updated claim information in operational software systems.
- Maintain and update logs and follow-up activities in the Workers’ Compensation system by due dates.
- Process all documentation for Workers’ Compensation injury reports, including follow-up of medical appointments, modified duty accommodations, and drug-screen results.
- Create and process all required Workers’ Compensation reports within assigned frequency.
- Customize Workers’ Compensation reports for branches, regional vice presidents, upper management, and executives as requested.
- Manage reserves up to $10,000 in collaboration with the assigned claims adjuster; handle reserve requests above $10,000 following department protocol.
- Develop and provide resolution options for claim closures.
- Process Certificate of Insurance requests for assigned states and assist with other states as needed.
- Process Workers’ Compensation Class Code requests for assigned states and assist with other states as needed.
- Log, review, and process invoices and codes to carriers/TPA and/or AvidXchange.
- Answer calls and communications from field branches and profit centers.
- Provide consistent communication to field staff, profit centers, TPA, and adjusters regarding open claims.
- Update field staff and profit centers on claim status as appropriate.
- Provide support, direction, and guidance to field staff and profit centers.
- Collaborate and provide documents and training for field staff and profit centers as needed.
- Maintain knowledge of law changes related to Workers’ Compensation and the insurance industry, including state-specific updates.
- Stay informed on workplace safety and health topics, including OSHA and other government regulations.
- Support and assist other members of the Loss Control Services team.
- Maintain communication and collaboration with the Loss Control Services Supervisor and team members.
- Utilize corporate resources efficiently and appropriately.
- Perform all other duties as assigned.

- High School Diploma required.
- 1 or more years of experience related to Workers’ Compensation claims preferred.

Physical Requirements
This role operates in a typical office environment. The employee must be able to:
- Stand, walk, stoop, kneel, crouch, and manipulate light to medium weights of 10–50 pounds.
- Demonstrate good hand/eye coordination, arm/hand/finger dexterity, and visual acuity to use a keyboard and operate office equipment.
