About the Role

We are looking for an All-Star Welcome Coordinator to join our fast-growing estate planning, probate, and trust administration law firm in Murrieta. This position entails sales, customer service responsibilities, and data entry. You will connect with others over the phone, cultivate new relationships to generate leads, and support the transition process from potential new client to engaged client. We provide training to help you best serve our clients. For the right person, this will be a highly rewarding position personally, professionally, and financially.

You must be comfortable discussing big price points and complex problems with maturity and sensitivity, as well as prospecting and following up with prospects. Responsibilities

  • Conduct in-depth in-person and telephonic meetings with potential new clients to perform a needs analysis.
  • Maintain a tracking system to monitor leads, new clients, and referral sources.
  • Enter client data in the case management system.
  • Follow up with potential new clients who have not yet retained us.
  • Find and participate in networking activities on behalf of the firm.
  • Work with the Marketing Assistant to plan networking activities for the staff and Owner.
  • Produce weekly lead conversion and cost of acquisition reports for review with the Owner.
  • Oversee the smooth transition of new cases to the legal team.
  • Manage client feedback and reviews.

Requirements

  • Minimum two years of telephone experience.
  • Minimum one year of data entry experience.
  • Keyboarding ability of 40 words per minute.
  • Superb written and verbal communication skills.
  • Excellent interpersonal skills and ability to develop relationships.
  • High school diploma required; bachelor’s degree preferred.
  • Experience working in a high-volume customer service role.
  • Ability to build relationships and interact with different types of personalities.
  • Empathy for potential clients and ability to put them at ease during difficult times.
  • Ability to close a sale by creating urgency and promoting value.
  • Ability to think on your feet and remain resilient when things don’t go as planned.
  • Willingness and ability to quickly learn about new topics (e.g., estate planning).
  • Consistent professionalism, treating calls or meetings at any time with equal care and compassion.
  • Ability to follow instructions and understand the importance of policies and procedures.
  • Team player who acts with respect and integrity.
  • Understanding of Microsoft Office products and cloud-based software.
