About the Role

The Wealth Advisor Administrative Assistant completes administrative duties for assigned accounts, including investment agencies, Trusts, and individual retirement accounts. This role supports Senior Wealth Advisors and Portfolio Managers in client relationship administration, financial planning, and coordination of client and prospect meetings. Additional responsibilities include assisting with Private Banking and deposit/credit solutions.

Responsibilities

  • Handle administrative duties for accounts, including investment agencies, Trusts, and Individual Retirement Accounts.
  • Work with clients and Centers of Influence on Wealth Management requests, issues, and solutions.
  • Pull quarterly and ad-hoc client reports for all Wealth Advisors and assist in administering client relationships requiring customized reporting.
  • Pull and input documents and records to ensure compliance with bank policies and standards, collaborating with Senior Wealth Advisors.
  • Assist in financial planning services for high-net-worth clients, covering topics such as asset review, retirement accounts, insurance, and estate planning techniques.
  • Research and service client requests, including distributions, transfers, account activity inquiries, and special requests.
  • Monitor cash lists of investment accounts for overdrafts and new contributions.
  • Serve as a resource for department tasks during periods of high workload demand.
  • Organize and track client contacts and assist with the new account opening process.
  • Facilitate marketing materials, proposals for new business, and client investment reviews.
  • Assist with interactions involving UIMG, Trust, Private Banking, and other bank departments to facilitate transfers and money movement for clients.
  • Understand and adhere to all bank policies, laws, and regulations applicable to the role.
  • Complete compliance training and follow internal processes and controls as required.
  • Report all compliance issues or violations of law/regulations in accordance with bank policies.
  • Perform other job-related duties or special projects as assigned.

Qualifications

  • College degree preferred in Finance, Accounting, or related field, and/or equivalent work experience.
  • Minimum of 2 years of combined administrative experience, preferably in investments, Trusts, financial planning, and/or banking.
  • General knowledge of investments, the trust industry, and individual retirement accounts preferred.
  • Strong client service experience with an emphasis on Banking and Wealth Management.
  • Highly skilled in Microsoft Office Products and financial software.

Working Environment
