Warehouse Specialist

The Warehouse Specialist supports customers throughout the quoting, order, and fulfillment process while also providing experienced warehouse and inventory support. The position prepares customer quotes, responds to product and order inquiries, enters and tracks orders, communicates product availability and delivery status, and works with sales, purchasing, and warehouse personnel to meet customer needs. The position also performs receiving, shipping, inventory‑control, and order‑fulfillment duties when needed. Forklift operation is an occasional support responsibility and is not the primary focus of the role. The employee may coordinate workflow, train less‑experienced employees on assigned tasks, and assume broader operational responsibilities as the business grows.

Essential Duties and Responsibilities

• Respond promptly and professionally to customer inquiries received by phone, email, or in person regarding products, pricing, availability, order status, deliveries, returns, and related needs.
• Prepare accurate customer quotes using approved pricing, cost, margin, freight, tax, and delivery information and route pricing exceptions or special terms for approval.
• Review customer requests to confirm product descriptions, part numbers, specifications, quantities, units of measure, delivery requirements, and other order details before issuing a quote or entering an order.
• Research product availability, lead times, alternatives, vendor information, and estimated freight in coordination with sales, purchasing, warehouse personnel, and vendors.
• Follow up on open quotes, document customer responses, update quote status, and communicate relevant opportunities or concerns to sales and management.
• Convert approved quotes into sales orders or otherwise process customer orders in the applicable system, ensuring that pricing, quantities, shipping instructions, customer information, and required documentation are accurate.
• Provide customers with timely updates regarding order confirmation, backorders, substitutions, estimated arrival dates, shipment status, delivery changes, and customer pickup readiness.
• Assist customers with routine product questions and help identify appropriate products based on available specifications and company information; refer technical or application‑specific questions to the appropriate internal resource.
• Coordinate customer pickups, deliveries, returns, warranty requests, credits, emergency orders, and special‑order requirements in accordance with company procedures.
