Warehouse & Receiving Coordinator

Contract position based onsite in Cambridge, MA.

About the role

The Warehouse & Receiving Coordinator will keep critical deliveries moving, support world-class lab operations, and play a vital role in a growing facility. You will manage daily dock operations, ensure the smooth flow of deliveries, and maintain a safe and organized workspace while collaborating with scientific and engineering teams.

Responsibilities

• Oversee daily inbound deliveries from carriers, vendors, and couriers at the dock.
• Inspect shipments for damage, accuracy, and proper documentation before routing.
• Maintain packing slips and invoices, submitting them for record-keeping as needed.
• Communicate delivery arrivals and exceptions to lab and operations teams in real time.
• Coordinate large or scheduled deliveries with vendors, facilities, and lab leads in advance.
• Ensure the dock area remains clean, organized, and compliant with EHS standards.
• Track received goods and resolve discrepancies with vendors and internal teams.
• Support onboarding of dock operations at new buildings as they come online.

Requirements

• Experience managing receiving, shipping, or loading dock operations in a lab, manufacturing, or large commercial setting.
• Proven ability to coordinate high-volume deliveries with carriers, vendors, and internal stakeholders.
• Strong communication skills to relay delivery status clearly across teams.
• Knowledge of safe material handling and dock equipment operation.
• Ability to safely operate a pallet jack and lift up to 50 pounds.
• Proficiency with inventory or receiving tracking systems and basic spreadsheets.
• Availability to work onsite 40 hours per week during standard receiving hours.
• Flexibility to work across multiple buildings and campuses as needed.

Preferred Qualifications

• Experience in a life sciences, biotech, or pharmaceutical receiving environment.
• Familiarity with handling temperature-sensitive or hazardous shipments (e.g., cold chain, dry ice, chemicals).
• IATA or DOT certification for handling hazardous materials shipments.
• Forklift certification or willingness to obtain one.
• Experience establishing dock operations in a new facility.

Schedule

40 hours per week during standard receiving hours.
