About the role

The Warehouse Operations Coordinator supports customer order processing, project coordination, logistics administration, and selected finance-related activities. This role acts as the administrative link between Sales, Operations, Finance, and customers, ensuring accurate and efficient execution of orders and projects.

Responsibilities

  • Process customer orders accurately and in a timely manner by verifying order details, pricing, and customer information.
  • Enter and maintain order data within the ERP system, including transferring sales orders from Odoo to Microsoft Dynamics 365 Business Central (BC).
  • Maintain order status and proactively communicate updates to customers and internal stakeholders.
  • Cook logistics administration, preparing shipping documentation and labels, coordinating carrier bookings and shipment scheduling, maintaining shipment records and tracking information.
  • Support warehouse and logistics activities during peak periods and as needed.
  • Assist with inventory transactions and ERP system updates.
  • Support office and operational activities, including providing basic technical assistance to team members when required.
  • Ensure office and kitchen supplies are adequately stocked and replenished.
  • Greet and assist clients, partners, and visitors at the Experience Center.
  • Provide administrative support to the Director of Sales as needed.
  • Assist in tracking project milestones, deadlines, and deliverables, scheduling and coordinating project meetings, maintaining project documentation, meeting notes, and action items.
  • Follow up with stakeholders regarding outstanding tasks and deadlines.
  • Aid in document management and process documentation.
  • Provide backup support for shipping and receiving activities, assist with product packaging during peak shipping periods, support inventory counts and warehouse improvement projects.
  • Develop a working knowledge of warehouse operations to help ensure business continuity.

Qualifications

  • 2+ years of experience in operations, administrative support, customer service, or a related field.
  • Experience with ERP systems; Odoo and Microsoft Dynamics 365 Business Central are preferred.
  • Excellent organizational skills and strong attention to detail.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
  • Ability to manage multiple priorities and work both independently and collaboratively.
  • Comfortable performing light physical tasks, including packing, organizing, and moving small equipment.
  • Professional, customer-focused, and approachable demeanor for client-facing interactions.
