Key Responsibilities

Purchasing & Order Management
- Place on demand, and scheduled orders, and time-sensitive needs such as same-day requests.
- Monitor and follow up on outstanding, partially received, or pending purchase orders in Service Titan.
- Itemize and line out as many purchase orders as possible for better tracking and clarity.
- Proactively contact vendors to obtain missing part numbers and relay them to the Leadership Team for Service Titan updates.
- Daily review and ordering of Hoffmann consumable inventory to ensure adequate stock levels.
- Maintain inventory levels for kanban inventory system.
- Correctly receive and stage materials or equipment while following the Hoffmann Brothers standard operating procedures.

Warehouse & Equipment Oversight
- Oversee the check-in/check-out process for all warehouse tools and equipment.
- Verify the condition and completeness of all tools returned and maintain tool accountability.
- Conduct a weekly review of missing or checked-out tools (every Friday).
- Assist with electronic receiving of goods and materials.
- Assist with temporary heating and cooling equipment sign-outs.
- Serve as point of contact for trash service coordination.
- Notify Leadership Team of needed repairs or damage to warehouse equipment (e.g., forklift, scissor lift).
- Maintain clean working spaces.
- Maintain clean vehicle and adhere to Hoffmann Brothers fleet policies.

Communication & Support
- Answer incoming calls as the first point of contact, maintaining the highest answered call percentage.
- Provide outstanding customer service by responding to counter requests and supporting Field Pros over the phone.
- Provide assistance with support in the field if deliveries are needed along with additional support on jobs during installation.
- Assist with monitoring and maintaining the warehouse email inbox.
- Work closely with Internal Operations and Field Managers for job coordination.

Requirements
- Regularly and routinely required to sit, stand, squat, kneel, walk, stoop, use hands to finger, handle controls, hear, and talk.
- Frequently required to reach with hands and arms.
- Must be able to climb ladders, work in hot and cold environments, and work in small crawl spaces.
- Must regularly lift and/or move 50lbs and up because the equipment being used can be heavy and cumbersome.
- Specific vision abilities required include close vision and the ability to adjust focus.
- Work environment can vary depending on the season and scope of work - required to work outdoors throughout the seasons.
- Work environment will subject employees to continual interruptions and changing priorities.
- Effective, consistent, and constant communication with customers, vendors, co-workers, and others is required.
