About the role
Active Minds is seeking an experienced, motivated and strategic Vice President of Finance and Administration to join its team. Reporting to the Chief Operating Officer, the VP of Finance and Administration will be a key member of the leadership team charged with oversight and execution of all financial processes and procedures, technology, and business operations at Active Minds.
Key priorities
- Lead all accounting and financial reporting for the organization, including overseeing the development of the organization’s annual budget and monitoring performance against individual grant and program budgets throughout the fiscal year
- Oversee annual audit process, including managing relationship with external auditor, and preparation and maintenance of reports needed for annual audit
- Report regularly to the Executive Director, Chief Operating Officer, and Board Treasurer on financial performance; provide regular insight on financial results and best practices
- Cook up and maintain effective financial processes and procedures, working in collaboration with the Director of Operations & Special Projects
- Implement an appropriate system of policies, internal controls, accounting standards, and procedures
- Maintain continuous lines of communication, keeping the Executive Director & COO informed of all critical issues necessary for organizational leadership
- Provide analytical support to Active Minds’ Executive Team, including development of internal management reporting capabilities
- Develop skills & capabilities and provide growth opportunities for entire Administration and Finance Team
- Serve as member of the organization’s Leadership Team, responsible for operationalizing and assessing the organization’s strategic and innovation opportunities, culture-building, and more as needed
Key results
- Financial Management (50%): Lead all accounting and financial reporting for the organization, including overseeing the development of the organization’s annual budget and monitoring performance against individual grant and program budgets throughout the fiscal year
- Oversee annual audit process, including managing relationship with external auditor, and preparation and maintenance of reports needed for annual audit
- Report regularly to the Executive Director, Chief Operating Officer, and Board Treasurer on financial performance; provide regular insight on financial results and best practices
- Coordinate with division leads to ensure department finances are being tracked effectively and financial resources are being strategically allocated to meet organizational goals
- Facilitate and help manage the accounting monthly close and reporting in a timely manner
- Lead the Finance Department, providing supervision and strategic direction to the Senior Associate of Accounting and contract Bookkeeper
- Provide proactive, creative, cross-functional thinking and ideas to enhance organizational financial oversight
- Support the organization’s process for acceptance of complex gifts and assets
- Achieve financial goals and objectives
Qualifications
- Energetic, flexible, collaborative, and proactive; a team leader who can positively and productively impact both strategic and tactical finance and administration initiatives
- Excellent interpersonal, verbal, listening, presentation and written communication skills and problem-solving abilities
- Excellent organizational skills and attention to detail
- Superior management skills; mentoring and coaching experience for a team with diverse expertise and ability to influence and engage direct and indirect reports and peers
- Proven track record in the areas of planning, financial management and operational oversight
- Strong interest in and commitment to the mission and goals of Active Minds
Requirements
- Bachelor’s degree or other certification in finance, accounting, or related field; CPA certification, Masters of Accounting (MAC) and/or MBA preferred
- Thorough knowledge of GAAP and FASB topics as applied to nonprofits; must be familiar with nonprofit finance and accounting regulations
- High level of financial and analytical skills and extensive knowledge of financial policies, practices, and nonprofit systems
- A minimum of 10 years of relevant experience, including in a nonprofit environment, with at least 5 years of managerial experience in leading a team and mentoring staff in a high-growth environment
- Proven track record in the areas of planning, financial management and operational oversight
- Experience with Quickbooks Online experience; ERP and other accounting software experience a plus
- Experience with Salesforce a plus
