Responsibilities
- Comprehensive management of operational activities (staffing, interviews, workflow, on-boarding), including supervision of all Volunteer Services Department volunteers.
- Maintains structure and systems in the Volunteer Services Department; and assists in the development of policies and procedures for departments.
- Aids in the development of volunteer competencies, which adhere to accreditation standards and government regulations.
- Ensures that there is adequate phone coverage in the department and that all inquiries are handled in a timely manner.
- Organizes appointments, meeting arrangements and prepares agendas and reports for all meetings.
- Responsible for ordering and maintaining volunteer uniforms and inventory.
- Maintains office environment to be both efficient and attractive.
- Manages and delegates volunteer engagement activities, which include but are not limited to, sending birthday cards, sympathy, planning National Volunteer Week activities and the annual Volunteer Luncheon.
- Tracks all Competency, Training Checklists, Annual Reviews evaluations for all Volunteers through the Volgistics system.
- Responsible for activation of all new Volunteers, ensuring that all requirements have been met.
- Informs Director of Volunteers when items are needed for new Volunteers and when Volunteers must be inactivated.
- Manages relationships with service learning and life skills programs for effective engagement and impact.
- Maintains collaborative and cooperative relationships with local high schools, colleges and community programs that offer service learning and/or life skills programs.
- Maintains records for student programs to justify further programs and/or need for future programs.
- Represents PMPH at community engagements and events.
- Arranges hospital staff/physicians to provide education programs to student volunteers.
- Responsible for recognition and appreciation program for those involved.
- Maintains relationships with health system departments that engage service learning and/or life skills program students.
- Manages relationships and activities for effective recruitment/engagement of prospective volunteers in the community.
- Conducts regular recruitment assessments based on health system needs.
- Conducts presentations about the PMPH volunteer program and volunteer needs.
- Maintains collaborative and cooperative relationships with leaders of civic and community organizations.
- Manages volunteers who conduct recruitment presentations in the community.
- Develops and executes plans to recruit volunteers for skills-based assignments (massage, health administration, Reiki, etc.).
- Oversees volunteer impact reporting and all information systems.
- Manages and maintains volunteer resources information system (Volgistics).
- Assists departments in obtaining network and PennChart access for appropriate Volunteers.
