Volunteer: Client Form Digitization Workflow

About the Role

Create a documented digitization workflow for our paper client intake form. The workflow should include steps to scan and capture a client's driver's license/ID, basic data capture and storage recommendations, privacy/security considerations, and a short implementation checklist.

Digitizing intake will speed and secure client access to food, housing, encouragement, and opportunity by reducing paperwork delays, improving record accuracy, and protecting client identity. Volunteers will directly help the foundation serve clients more efficiently and safely.

Responsibilities

  • Develop a step-by-step digitization workflow for the client intake process.
  • Include procedures for scanning and capturing client IDs (e.g., driver’s licenses).
  • Provide recommendations for data capture and secure storage.
  • Address privacy and security considerations in the workflow.
  • Create a short implementation checklist for the foundation to follow.

Collaboration

We will work collaboratively with the volunteer to:

  • Share the current paper intake form.
  • Describe our existing intake process.
  • Review any current systems in place.

The goal is to produce a practical, implementable workflow tailored to our needs.
