Volunteer Assistant
About the role
This position plays a key role in coordinating the agency-wide Volunteer Program. The Lead Aide Volunteer Program monitors program efficiency by attending events and activities, communicating with staff, and reviewing volunteer feedback. This role also assists in planning and advertising activities to volunteers using the volunteer system software. Some weekend, evening, and holiday work is required.
This position reports to Headquarters (861 Riverland Drive, Charleston, SC 29412) but may work anywhere in Charleston County (McClellanville to Ravenel) while traveling in an agency vehicle.
Responsibilities
- Monitors incoming volunteer requests and builds activities in the system as needed.
- Reviews placement of volunteers in ongoing assignments, short-term projects, and one-time projects.
- Coordinates check-ins for volunteer leaders to ensure awareness of current CCPRC processes and prepares them to lead activities.
- Communicates with staff, volunteer applicants, and active volunteers.
- Attends events and projects to ensure volunteers are equipped for registered activities.
- Assists volunteers through the application process, including background checks, to ensure smooth onboarding.
- Establishes and maintains good relationships with peers, volunteers, prospective candidates, and outside agencies.
- Assists with volunteer recruitment by attending events and creating marketing ideas.
- Coordinates retention events for volunteers.
- Sends rosters to requestors, event details, and hour reminders to volunteers.
- Submits hours in the system on behalf of volunteers as needed.
- Creates a monthly volunteer hours report.
- Assists with maintaining and updating the Volunteer Handbook.
- Organizes volunteer inventory and software (email templates, qualifications, etc.).
- Reports any negative volunteer feedback to the Volunteer Coordinator to maintain good standing with volunteers.
- Performs other related duties as required.
Requirements
- High school diploma or GED required; two years of administrative or clerical work experience preferred.
- Knowledge of computers and software in a Windows environment (Microsoft Office including Outlook, Word, Excel, and PowerPoint), copy machines, telephone systems, and other office equipment.
- Ability to speak effectively to groups and convey important information about employment with CCPRC.
- Ability to handle a variety of duties, situations, and changes in a positive manner with a commitment to confidentiality.
- Ability to deescalate conflict.
- Knowledge of planning and organizing projects in a timely manner or with short notice.
- Ability to work independently.
- Ability to work effectively with multiple employees and assist where necessary.
- Ability to communicate clearly and concisely, both orally and in writing.
- Must pass a drug test and a criminal background check.
- Must possess and maintain a valid driver's license.
Working Conditions
While performing the essential functions of this job, the incumbent is regularly required to sit; use hands to finger, handle, or feel objects; bend body downward and forward, requiring full use of the lower extremities and back muscles; reach with hands and arms; speak and hear; and push, pull, and/or lift up to 20 pounds occasionally. Work is performed in a fast-paced office setting with frequent interruptions and the need to deal with a diverse range of people. Routine duties are performed with moderate supervision following established procedures and deadlines.
Due to the classification of this position, participation in the South Carolina Retirement System (SCRS) State Retirement Plan is required.
Pay
$19.25 per hour
