About the Role

Under the supervision of the vital records site supervisor, you will serve as a Customer Service Representative, assisting on-site customers with vital records services. This includes performing related customer service activities such as verifying information, determining entitlement to requested documents, processing fees, issuing documents, and initiating amendments like affidavits of correction, paternity acknowledgments, legitimations, court orders, and establishing delayed birth certificates.

Responsibilities

  • Assist customers in completing applications for certified copies of vital events.
  • Screen applications for necessary information and entitlement to documents following established policies.
  • Issue certified copies of vital records and advise customers when discrepancies appear or no record is found.
  • Enter data from applications into the electronic vital records system.
  • Follow established policies regarding security paper, fee collection, and receipting.
  • Reconcile discrepancies to ensure strict accountability for audit purposes.
  • Initiate amendments by affidavits of correction, paternity acknowledgments, legitimations, and court orders.
  • Initiate the establishment of delayed certificates.
  • Perform a variety of assigned clerical and office maintenance duties, including filing, organizing, and occasional cleaning.

Requirements

  • A high school diploma and relevant program experience. A bachelor's degree may substitute for the required program experience.
  • Three (3) years of customer service experience.
  • Two (2) years of face-to-face cashiering or banking experience.
  • Ability to type at a corrected rate of 40 words per minute (on-site test required).

An official, certified copy of the transcript or diploma will be required prior to hiring. Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.

Any equivalent combination of education and/or experience that demonstrates the required knowledge, skills, and abilities may be considered, subject to approval by the DPH Chief Human Resources Officer or their delegate.

Preferred Qualifications

  • Bilingual in Spanish.
  • Associate or bachelor's degree.
  • Six (6) years of responsible clerical experience.
