About the role
The Site Manager is responsible for the smooth operation and success of the free tax return preparation program (VITA) at the Guadalupe Community Center, a mega site, and the elderly tax clinic (TCE) site. This position will assist the VITA Director and often be the primary staff person on site when sites are open.
Responsibilities
- Collaborate with Human Resources on matters concerning recruitment, hiring, verification, training, and supervision of temporary employees.
- Develop and implement employee development plans for program employees.
- Oversee temporary employees hired for the year-round tax clinic and manage timesheets for VITA Staff.
- Become IRS Certified at the advanced tax preparation level annually to better assist VITA volunteers during training.
- Provide onsite supervision, support, and guidance to VITA Staff and tax preparation volunteers.
- Ensure adequate volunteer coverage, supplies, forms, and equipment are maintained at the tax site.
- Monitor volunteers and staff to ensure quality review is being conducted and privacy is maintained.
- Support volunteers by answering questions, solving problems, and correcting errors.
- Work with volunteers and taxpayers to address returns that the IRS filing center has rejected.
- Initiate and complete the Intake/Interview Quality Review form with each assigned taxpayer as needed.
- Review all tax information for relevance, accuracy, and completion.
- Assist with entering client’s information into Charity Tracker.
- Ensure compliance with federal IRS rules and regulations.
- Assist with taxpayer requests and inquiries.
- Provide a variety of duties involved in supporting the administrative operations of the assigned VITA site.
- Transmit each tax return completed using the Tax Slayer filing system.
- Periodically review quality assurance outcomes and update systems in place for quality review and reducing rejection rates of tax returns.
- Conduct necessary and timely follow-up as needed.
- Manage ITIN appointments, mail out letters, and database.
- Assist with ITIN applications and renew ITIN Certification annually.
- Become a Certified Acceptance Agent to process W-7 forms for all ITIN applications.
Requirements
- High School diploma or GED.
- Minimum of 1 year of experience in preparing taxes with at least 1 year of experience in TaxSlayer Software and/or customer service experience.
- Reliable transportation, valid driver's license, and valid vehicle insurance.
- Bilingual in English and Spanish required.
Qualifications
- Minimum of 3 years’ experience in preparing taxes, including basic tax law, and computer skills.
- Extensive working knowledge of basic tax law and time management.
- Experience in managing day-to-day site operations.
- Experience with computer software and online tax software (i.e., TaxSlayer software preferred).
- A solid grasp of customer service and professionalism.
- Must be detail-oriented, organized, self-motivated, work well independently, and on a team.
- Must have good written and verbal skills.

Pay
$21 per hour.
Schedule
Must be able to work non-traditional hours as needed (evenings and/or weekends are required during VITA season).
