Responsibilities
- Optical Operations (20%):
- Assist with eyewear selection to ensure prescriptions, comfort, and insurance coverage are met during high demand or staffing needs.
- Support opticians with dispensing, adjustments, and repairs, providing guidance on patient education and troubleshooting.
- Oversee and assist with accurate charting and documentation to ensure compliance with policies and clinical standards.
- Clinical Operations (20%):
- Provide direct patient-care support during high demand, including patient preparation, intake, pre-testing, imaging, and administration of diagnostic drops with patient education.
- Coordinate and track external referrals to ensure continuity of care.
- Front Desk Operations (20%):
- Support front-desk operations during high demand, including phone triage, scheduling, patient check-in/check-out, insurance verification, payment classification, and data entry.
- Clinic Oversight (10%):
- Monitor site operations to ensure compliance with company and department policies, procedures, and protocols.
- Maintain efficiency and productivity by tracking patient recall lists, pre-visit planning, and insurance verifications.
- Manage inventory and ensure equipment is in good repair; recommend site improvements.
- Staff Oversight (15%):
- Supervise eye care support personnel, including performance reviews, recruitment, training, and retention in collaboration with the vision services manager.
- Resolve professional conflicts among staff and lead monthly staff meetings.
- Quality (10%):
- Ensure patient satisfaction with optical orders, including lenses, frames, and contact lenses.
- Assist with site patient surveys and recommend quality assurance and policy improvements.
- Collections (5%):
- Process daily optical deposits.
- Collaborate with the vision services manager and operations specialist to ensure accurate and timely finance and billing functions (e.g., patient data collection, sliding fee applications, co-pay collection).
- Perform other duties as directed to ensure the efficiency of the optical department.
Requirements
- High school diploma or equivalent.
- Active BLS certification.
- CPO, CPOA, CPOT, or ABO-NCLE certification preferred.
- Minimum of three (3) years of experience in an eye care clinic; FQHC experience preferred.
Skills
- Basic knowledge and skills appropriate for optometric care.
- Telephone and computer proficiency.
- Bilingual (English/Spanish) preferred.
- Understanding of universal precautions.
- Flexibility in accepting work assignments; ability to multitask and work independently.
- General knowledge of office equipment and eye care terminology.
- Annual completion of proficiencies in optician, optometric assistant, and front desk roles.
- Strong team-building and organizational skills.
- Commitment to customer service and ability to function both individually and as part of a team.
- Initiative in daily responsibilities and a consistent, fair approach with staff.
Physical Requirements
- Ability to consistently stand, sit, and walk throughout the workday.
- Occasional lifting of up to 25 pounds.
Schedule
Full-time; flexible and varied hours, including potential evening shifts. Regular and timely attendance is required. Telecommuting is not an option for this position.
