PetVet Care Centers' Heart of Brooklyn Veterinary Hospital - Flatbush is currently seeking a Care Coordinator to join their team!

We are a growing, team-oriented small animal practice in Brooklyn where client experience is everything, and we pride ourselves on delivering compassionate, efficient care while continuing to strengthen our hospital culture and operations.

Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • A high school diploma or GED required, or equivalent combination of education, certification, training, and/or experience.
  • Minimum 2+ years of experience in a small animal veterinary general practice setting required.
  • A strong understanding of veterinary workflow, terminology, and client communication.
  • Experience scheduling appointments, checking clients in/out, and managing multi-line phones.
  • Experience obtaining and sending medical records.
  • The ability to review patient charts, vaccine reminders, and wellness due dates accurately.
  • An experience using veterinary software/PIMS systems required.
  • The ability to work efficiently and professionally in a fast-paced environment.
  • Strong communication, organization, and multitasking skills required.
  • Applicants must be 18 years of age or older to be considered for this position.

Preferred Skills (Nice to Have)

  • Experience with Vetter software preferred.
  • Experience processing estimates, invoices, and end-of-day procedures.
  • Knowledge of Antech/Idexx platforms and laboratory workflow.
  • Experience supporting surgery scheduling and workflow coordination.
  • Familiarity with veterinary preventive care and client education.
  • Experience opening/closing a veterinary hospital preferred.

Schedule

Full-Time (preferred), Day shift. Must have flexibility for rotating Saturdays.
