Our Client Service Representatives are the first friendly face our clients see and the reassuring voice they hear when they need guidance for their pets. Whether welcoming a new puppy, supporting a family through an emergency, or celebrating a patient's recovery, our reception team plays an essential role in creating an outstanding client experience.
We're looking for a compassionate, organized, and service-focused Veterinary Receptionist / Client Service Representative who enjoys building relationships, thrives in a fast-paced medical environment, and wants to make a meaningful difference in the lives of pets and the people who love them. Responsibilities
- Deliver an Exceptional Client Experience:
- Welcome clients and patients with professionalism, warmth, and compassion
- Schedule appointments and manage daily hospital scheduling
- Answer phones and respond to client questions with empathy and accuracy
- Coordinate patient check-in and check-out
- Support clients through routine visits, illness, surgery, and unexpected emergencies
- Help create a positive, stress-free experience for both pets and their families
- Client Communication & Education:
- Become a trusted resource for clients by helping them understand:
- Preventative care recommendations
- Wellness visits and vaccinations
- Medication refill requests
- Surgery and appointment preparation
- Hospital policies and treatment estimates
- Post-visit instructions and follow-up care
- Become a trusted resource for clients by helping them understand:
- Hospital Operations:
- Maintain accurate client and patient medical records
- Process invoices and client payments
- Prepare treatment estimates and explain financial options
- Coordinate communication between doctors, technicians, and clients
- Support efficient patient flow throughout the hospital
- Assist with administrative projects as needed
- Team Collaboration:
- Work closely with veterinarians, veterinary technicians, assistants, and the leadership team to ensure every patient receives exceptional care
- Maintain a positive and collaborative work environment

Qualifications
- 1–2 years of veterinary receptionist or client service experience preferred
- Experience in human healthcare, dental, specialty medical, optometry, or other healthcare reception settings is highly valued
- Experience working with appointment scheduling and electronic medical records
- Previous experience with veterinary practice management software is a plus
- Strong computer skills and proficiency with Microsoft Office
- High school diploma or equivalent required
Physical Requirements & Working Conditions
- Sit, stand, walk, bend, and move throughout the hospital during scheduled shifts
- Occasionally lift and carry up to 30 pounds
- Work comfortably around dogs, cats, and other companion animals
- Communicate effectively with clients, teammates, and veterinary professionals in person and by phone
- Maintain attention to detail while managing multiple priorities in a fast-paced environment
Working conditions may include exposure to:
