Veterinary Customer Services Representative I/II

Auburn University College of Veterinary Medicine is seeking candidates for a Veterinary Customer Services Representative role.

About the role

This position handles clerical duties related to veterinary care and treatment, processes invoices and payments, directs incoming phone calls, and provides support to the veterinary team. The role also processes clients' animals for admission into and discharge out of Auburn University Veterinary Teaching Hospitals.

Responsibilities

• Welcome clients to the hospital, register animals in need of medical attention, and verify client information and referring veterinarian.
• Ensure all proper paperwork is completed, gather records from other veterinary facilities as needed, compile the physical medical record, and alert clinical personnel of patient arrivals.
• Direct clients to appropriate areas within the clinic and ensure a successful visit.
• Receive and screen telephone calls, including scheduling appointments; provide information and assistance regarding clinic and hospital procedures.
• Contact clients to confirm appointments and provide pre-appointment instructions.
• Communicate admissions information, fees, discharge dates, clinic regulations, and other services to clients.
• Discharge clients in a timely manner, ensuring bills are complete, verified, and medications are provided; address past accounts or financial follow-ups.
• Generate, analyze, validate, and verify financial records; prepare and verify daily deposits and cash reports for the Bursar's office.
• Assist clinicians with patient examinations, simple treatments, and recording patient data under direct supervision.
• Abide by rules and regulations for Veterinary Client Representatives as defined by the American Animal Hospital Association and policies of the College of Veterinary Medicine.
• Assist veterinary technicians with basic patient care, such as restraining patients, administering medications, feeding, icing incisions, changing fluids, nebulizing patients, and flushing catheters under supervision.
• Assist in cleaning kennels, stocking medical supplies, and maintaining a clean and safe clinical working environment.

Requirements

• High school diploma or equivalent.
• For Level II: 2 years of experience in a veterinary, medical office, or hospital setting working with medical records and hospital information systems.

Candidates with the required education but lacking experience may substitute additional relevant education at a rate of one year of education per year of required experience.
