Summary

Acts as a multi-phone line receptionist. Assists the general public and County employees with inquiries regarding job opportunities. Ensures applications, office supplies and various required office forms are available. Updates, maintains, files and keeps employees personnel files current. Administers the typing test and ensures all applications are completed before disbursing to Recruiting Staff. Assists with e-Recruitment KIOSKS. Collects, maintains, issues receipts and deposits ID badges and copier funds on a regular basis.

Essential Duties and Responsibilities

  • Serves as receptionist. Answers multi-line telephone and directs calls and clients as necessary.
  • Disburses and reviews all applications for completeness.
  • Administers typing test and accurately records scores.
  • Updates, maintains, pulls and re-files employee’s personnel file folders.
  • Provides information to the general public concerning regulations and office procedures.
  • Retrieves, sorts and distributes all incoming and outgoing mail.
  • Provides telephone employment verifications and keeps listing of calls received.
  • Mails and emails job opportunity notices.
  • Assists with maintaining office supply inventory.
  • Retrieves long distance phone lists from MOBIUS.
  • Assists walk-in clients in the use of e-Recruitment KIOSKS, which includes setting up e-mail accounts.
  • Answers all questions concerning the e-Recruitment applicant system in person or via telephone using step by step instructions to help applicants and employees apply for current available positions.
  • Gives eligibility status to applicants and employees.
  • Verifies eligibility status for paper applicants/employees and instructs on-line applicants/employees on the procedures to check their applicant account status by using e-Recruitment applicant system.
  • Updates applicant’s typing score in the e-Recruitment system that have successfully passed the typing test.
  • Completes an applicant update form with any changes to the paper or on-line applications (i.e. address, telephone numbers, typing scores and any certifications/licensures changes).
  • Receives, prints and saves all faxed applications. Confirms to applicants that their applications were successfully received.
  • Assists recruiters with applicant mailing out job status notification and other needs when necessary. (i.e. typing test scores)
  • Updates Drake Communications System. (i.e. job line, detailed directions, hours of operation, typing test information, and etc.)
  • Prepares all terminated documents in personnel file to be scanned into the Paperflow system. Ensures all documents are counted, staples removed, scanned in the correct directions and are legible and placed in the correct sub-folders within the Paperflow system.
  • Handles all questions concerning the I. D. badge system; collects the appropriate funds, issues receipts, gets authorized signature for pick-up and issues the I.D. badges.
  • Collections, maintains and deposits cash and checks received from the reception area copier and I. D. badges costs.
  • Maintains monthly tracking of all walk-ins, typing test, phone logs, employment verifications (verbal) and badge count.
  • Escorts non-employees to the PBSC department for security purposes.
  • Assists with the E-Pass Program. (i.e. answer basic questions, issues the deduction authorization forms, gives employees the one time payroll deduction amount and makes copies for the employees to take with them for their bus I. D. and gives directions to the Inter-modal Transit Stations).
  • Updates outside Human Resources board with the current Texas Workforce Solutions Agenda postings.
  • Performs all other related duties as assigned by the Human Resources Management Team.

Minimum Requirements

  • High School diploma or equivalent.
  • Minimum two (2) years of receptionist, clerical or general office experience.
  • Human Resources experience preferred.
  • Ability to work well with others and handle stressful situations calmly and professionally; ability to file accurately, multi-task and the ability to make minor decisions and create new ideas regarding office processes.

Physical Demands and Work Environment & Other Requirements

While performing the duties of this position, the incumbent is required to regularly sit, stand, lift, stoop, and pull.
