Utility Coordinator

Duties/Responsibilities

  • Cook up utility activation, transfer, and disconnection for vacant and occupied homes.
  • Maintain accurate records of utility account information for all managed properties.
  • Review utility invoices for accuracy and identify billing discrepancies.
  • Process utility bill-backs to residents in accordance with company policies and lease agreements.
  • Ensure utility charges are accurately posted to resident ledgers within established timelines.
  • Collaborate with utility providers across different cities, states, and counties.
  • Submit deposits to specific utility providers.
  • Work closely with service teams to ensure timely utility coordination for repairs and property readiness.
  • Maintain utility tracking databases and reporting systems.
  • Absorb assistance with special projects related to utility management and process improvements.
  • Collaborate with Property Management, Maintenance, Accounting, and Resident Services teams to resolve utility concerns.
  • Serve as the primary point of contact for utility-related inquiries from residents and internal teams.
  • Perform additional duties as assigned.

Required Skills/Abilities

  • A friendly and welcoming demeanor with the ability to maintain professionalism and a strong customer-focused demeanor with demanding clientele.
  • Excellent time management skills, detail-orientation, and ability to multi-task and prioritize work.
  • Strong decision-making and problem-solving skills, along with advanced conflict resolution skills.
  • Effective communication and interpersonal skills and proficient in English. Must be able to articulate needs and convey information verbally and in writing effectively with employees, customers, supervisors, and co-workers throughout the organization.
  • Knowledge of management methods and sound employee relations techniques with an ability to connect to staff, troubleshoot problems and help teams collaborate, as necessary.
  • Able to work in an equitable, inclusive, and diverse environment.

Education and Experience

  • A High School Diploma or equivalent.
  • A minimum of 4 years of Customer Service, Utility Management, or Property Management Experience.
  • Experience using Entrata, QuickBase, & Netsuite.
