Unit Secretary

About the role
The Unit Secretary performs various patient care duties and related non-professional services to ensure personal needs and comfort of patients. This role also includes clerical duties such as maintaining patient records, answering telephones, and acting as a liaison between nurses and physicians.
Responsibilities
- Patient Care Support
- Enters pertinent information into the electronic medical record.
- Performs chart maintenance by verifying that all information in the patient chart is correctly labeled and filed; initiates appropriate action when necessary (e.g., patient label, face sheets).
- Assembles, checks, and routes patient files for surgery, transfer (including new ID bracelet), discharge, or death according to procedure.
- Schedules physician appointments, calls physician consults, requests copies of medical records (when indicated), and arranges patient transportation as requested.
- Demonstrates knowledge and effective use of medical terminology.
- Maintains established stock levels of clerical supplies; restocks and/or orders supplies as needed.
- Removes outdated forms or supplies from the unit, organizes clerical supplies, and prepares new charts.
- Credits supplies and equipment to the appropriate department.
- Orders specialty items (from in-house and outside vendors) for patients and follows procedures for returning specialty equipment.
- Answers patient calls politely and courteously, communicating patient needs to appropriate staff in a timely manner.
- Answers phone calls politely and courteously, triaging and prioritizing messages to the appropriate staff member.

- Resource Management
- Uses time and supplies/equipment in an efficient and effective manner.
- Ensures operation of equipment by completing preventive maintenance requirements; follows manufacturer’s instructions, troubleshoots malfunctions, calls for repairs, maintains equipment inventories, and evaluates new equipment and techniques.
- Demonstrates ability to coordinate tasks and effective teamwork skills, maintaining cooperative relationships among healthcare teams by communicating information, responding to requests, building rapport, and participating in team problem-solving.
- Completes assigned tasks within specified time frames and prioritizes workload to meet patient and unit needs.
- Restocks rooms with supplies needed for patient care.
- Assists in performing and documenting environmental checks as required by LMC policy and regulatory agencies.
- Promptly responds to all communication devices to meet patient needs.
- Performs other duties as assigned.
Requirements
- High School Diploma or Equivalent.
- Minimum of 1 year of patient care administrative/clerical duties.

Schedule
Full-time, day shift: 7:00 AM – 7:00 PM.
