Unit Coordinator, Emergency Room, 32 Hour, Evenings 1-9P

Major Responsibilities

  • Performs clerical functions for the Inpatient and Partial Hospital Program (PHP) as assigned
  • Collects and monitors charge slips and enters billing
  • Type letters and documents as requested
  • Prepares daily paperwork for Partial Hospital Program
  • Assembles PHP charts daily
  • Disassembles PHP charts and reviews for accuracy and completion
  • Sends original chart documentation to medical records
  • Faxes Primary Care Provider, release of information, and discharge information as appropriate
  • Completes daily census sheet for PHP
  • Orders, receives, and stocks inventory of stationary, forms, and other necessities as needed
  • Completes and submits necessary monthly reports to Department of Mental Health
  • Facilitates effective communication and coordinates unit activities
  • Answers telephone appropriately and courteously
  • Takes and relays messages in a timely manner
  • Places calls as requested to physicians, and other professional or ancillary services
  • Greets and directs visitors, physician, and staff from other departments
  • Opens, sorts, and routes mail accurately and in a timely manner
  • Maintains scheduling for workplace violence certification registration Program Schedule Management
  • Cover billing/insurance/registration matters with Patient Accounts department
  • Fax/receives booking forms
  • Ensures patients are pre-registered in system
  • Staff Scheduling: In collaboration with unit Director and Manager of Partial Hospital Program, responsible for ensuring necessary staff coverage for the 24 hour inpatient service and Partial Hospitalization Program
  • Completes schedule in a timely fashion and in accordance with MNA contractual guidelines and hospital policies and procedures
  • Manages all changes including available staffing needs and staff sick calls while ensuring necessary coverage is available
  • Weekly Payroll: In collaboration with Unit Director and Partial Hospital Manager, submits weekly payroll for Inpatient Service and Partial Hospital Program
  • Maintains accuracy of financial accounts
  • Aids the supervisors by performing administrative duties as requested

Position Qualifications

  • All responsibilities are essential job functions
  • Licenses/Certifications/Educations Required: High School diploma/GED, Preferred Medical Assistant certification
  • Experience/Skills Required: One or more years of Clerical/Administrative experience, Experience in a hospital or health care setting preferred, Computer skills required, Knowledge of Medical Terminology required, Excellent interpersonal skills, Demonstrated prioritization and organizational skills, Strong customer service focus OR equivalent combination of the above
  • Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements

Physical Demands And Environmental Conditions

  • Occasionally - lifting, pushing, pulling 10lbs or less, standing, walking, pushing, pulling, bending, reaching, grasping
  • Frequently - lifting, carrying, pushing, pulling 20lbs or less, kneeling, high level of stress
  • Constantly - sitting, performing repetitive movements, working indoors, precise motor skills, precise hearing required, precise vision required
