Responsibilities
- Support nursing units through accurate patient chart management, admission/discharge paperwork, appointment scheduling, call-light communication responsiveness, supply coordination, and professional interaction with residents, families, clinical staff, and outside providers.
- Maintain confidentiality and use electronic medical recording systems.
- Prioritize multiple tasks in a fast-paced healthcare setting.
- Act as a serving backbone of the unit with accuracy, urgency, and calm professionalism.
- Custodian of medical records, including coding, auditing of discharged records, and ensuring completion of same.
- Prepare and set up for all new admissions and update information as needed.
- Delete forms when indicated and maintain all residual files.
- Follows chart audit/deletion policy and responsible for quality assurance of closed and open medical records.
- Logs all admissions, discharges, and transfers of residents.
- Reviews all monthly vital signs for completeness and documents in chart.
- Monitors all Treatment Administration Records, Psychotropic Medication Records, and Medication Administration Records for completeness and files them in resident’s medical record.
- Determines what signatures are missing and contacts appropriate staff member to complete.
- Checks for correct name and room number on all sheets and puts heading on as necessary.
- Places appropriate stickers on charts, such as DNR, Allergies, Advance directives, etc.
- Arranges storage of supplies in a neat and orderly fashion on the unit.
- Keeps stock forms well supplied in drawers in alphabetical order.
- Updates CNA book.
- Picks up mail from mailbox for both units.
- Orders office supplies and maintains par level.
- Answers phone on unit and identifies self.
- Takes messages accurately and transcribes legibly.
- Ensures street clothes are neat and clean at all times, not confused with a Nurse's Aide's.
- Available to cover for the nursing secretary at the front desk during her lunch break.
- Available to cover for the central supply/staffing coordinator during her absence.
- Available to assist the unit managers when necessary.
- Performs other duties as assigned by the Director of Medical Records.
Requirements
- At least 3 months experience in a clerical position, or successfully completed a secretarial science program from an accredited school/college.
- Some knowledge of medical records and terminology.
- A high school diploma, with prior work experience demonstrating competence in completing variable job requirements.
