About the Role

Works under the supervision of the Trust Officer in the administration of Trust Department accounts. Daily duties include building customer relationships through communication, both oral and written. Handle the day-to-day account administration, including completing account reviews and preparing discretionary distribution forms. Coordinate with customers to complete the Investment Parameter Statement, monitor cash balances, and manage account activity. Responsible for working with the Trust Administrative Assistant on accounts payable and receivable transactions, and interacting with the Trust Real Estate and Oil & Gas division.

Responsibilities

  • Daily account administration of assigned accounts
  • Proactively anticipate client needs to provide a high level of service
  • Quickly resolve client issues
  • Effectively communicate with clients, trust beneficiaries, advisors, co-fiduciaries, and internal personnel
  • Meet with current clients and prospects
  • Complete monthly account reviews
  • Assist Compliance Officer with monitoring and meeting compliance requirements
  • Utilize risk management tools to ensure exceptions are addressed and minimized
  • Complete and approve trade tickets and distribution requests
  • Interpret governing instruments and applicable laws to ensure proper account setup
  • Prepare Discretionary Distribution forms and supporting memoranda
  • Attend Trust Administration, Investment Review Committee, Trust Committee, and monthly Trust Officer meetings
  • Coordinate with clients to complete the Investment Parameter Statement
  • Work with third-party tax advisors and legal counsel on tax matters
  • Train/coach the Administrative Assistant on daily administrative requirements

Qualifications

  • Bachelor’s Degree (B.B.A.) in Accounting or Finance or equivalent experience
  • 3+ years of prior experience in trust administration
  • Strong interpersonal, oral, and written communication skills
  • Sound judgment and discretion in decision-making
  • Ability to maintain confidentiality
  • Proficiency in Windows and Microsoft Office products
  • Strong attention to detail, organization, and proofreading skills
  • Exceptional grammar and spelling skills
  • Ability to manage multiple projects and take initiative
  • Team player with a willingness to learn and expand responsibilities

Schedule

Monday - Friday, 8:00 AM - 5:00 PM. 40 hours per week.
