The Opportunity

Are you a seasoned orthodontic or dental professional with a deep understanding of insurance, treatment planning, and patient care? If so, this role could be a perfect fit.

What You Will Do

  • Conduct virtual, face-to-face meetings with orthodontic practices and/or organizational leadership during the pre-implementation phase and throughout the ongoing client relationship.
  • Provide hands-on training and guidance to practice teams on network-specific best practices, ensuring smooth insurance workflows and optimized billing.
  • Perform treatment and network analyses to identify opportunities that maximize treatment fees and improve practice profitability.
  • Gather and document current insurance workflows and fee presentation processes, translating them into OrthoFi’s system language and configuration.
  • Communicate cross-functionally to share practice-specific needs and recommend system workarounds to ensure smooth adoption.
  • Collaborate closely with OrthoSuccess Managers to drive strong client outcomes and support high NPS scores through continued insurance education and workflow optimization.
  • Delegate, track, and review the work of team admins to support scalable, high-quality implementations and ongoing account maintenance.
  • Configure OrthoFi’s system so that practice users can efficiently create treatment plans, fee presentations, service contracts, and submit accurate claims.
  • Interpret a practice’s treatment offerings and corresponding fees to support in-network reimbursement strategies and clean claim submission.
  • Accurately assign current CDT procedure codes based on treatment types and insurance requirements.
  • Identify billing processes and requirements based on the practice’s network participation.
  • Conduct deep-dive investigations into benefits and write-offs to ensure accurate billing and reimbursement processes.
  • Proactively identify opportunities for workflow or system enhancements based on user feedback and practice needs.

The Skill Set

  • 2+ years of hands-on experience in an orthodontic or dental office—ideally in treatment coordination, insurance coordination, or front desk roles.
  • Strong knowledge of dental/orthodontic insurance, claims submission, network participation, and billing workflows.
  • Understanding of orthodontic procedures, appliances, technologies, and treatment plan presentation.
  • Prior experience with OrthoFi is a big plus—or a willingness to learn the platform quickly.
  • Exceptional communication skills—confident working with both practice staff and internal teams via Zoom, phone, email, or chat.
  • Proficiency in Excel and general computer/software skills.
  • Detail-oriented mindset with strong time management and organizational skills.
  • A flexible, solutions-focused approach to problem-solving.
  • Empathy and passion for making a positive impact on practices and patients alike.
  • Familiarity with practice management systems (e.g., Cloud 9, Dolphin, Ortho2).
  • Prior experience leading training or onboarding for dental/ortho teams.
  • PMP certification or project management background.
