The Assistant Project Manager supports the Project Manager by planning, organizing, and directing operations for ongoing projects, performing project-related tasks, and providing administrative and clerical support.
This position requires 75% work on direct job sites and 25% remote work.
Responsibilities
- Maintain, organize, and stay informed of SharePoint job folders.
- Research vendors in areas where work is to be performed.
- Support with closing punch lists.
- Build, develop, and grow relationships with vendors, sub-contractors, and field personnel.
- Help build, support, and coordinate scheduled construction activities with team members.
- Coordinate the change order management process.
- Create, maintain, coordinate, review, and send for approval all drawings, project submittals, RFIs, and project support documentation (e.g., project update reports, proposals, daily logs, meeting agendas, requests for information).
- Provide field coordination support between design intent (drawings/specifications/contract) and actual installation methods.
- Assist with capturing project photos from start to finish.
- Assist with WIP updates throughout the month.
- Support the Project Manager with customer-specific project management software (e.g., Procore).
- Work closely with the Project Manager to meet deadlines, including:
- Quoting buyouts/gear/packages.
- Requests for Change.
- Project Schedule support.
- WIP.
- Assist in project proposal submissions and follow-up.
- Maintain vendor relations and perform field purchasing as requested by project leadership.
- Quote materials.
- Assist in managing execution of project subcontracts and change orders, acting as liaison between vendors and InPwr.
- Support project QA/QC efforts and as-built coordination.
- Handle material requests.
- Supervise and manage coordination of:
- Manufacturer submittal documentation.
- Operation and Maintenance documentation.
- Upload documentation to internal/external databases.
- Perform other job duties as assigned based on the changing needs of the business.
Requirements
- Excellent quantitative and analytical skills.
- Strong computer skills, including Microsoft Office products.
- Ability to learn new software quickly; knowledge of basic estimating software such as Bluebeam and Accubid.
- Outstanding interpersonal skills, including excellent verbal and written communication.
- Problem-solving capabilities to identify and resolve issues analytically and timely, providing alternative solutions.
- Effective time management through proper planning, organization, and ability to handle multiple initiatives simultaneously.
- Ability to work as an effective team member, balancing individual and team responsibilities with job success as the priority.
- Frequent sitting or standing, repetitive wrist motions, grasping, speaking, listening, close vision, color vision, and ability to adjust focus.
- Occasional lifting and/or moving up to 50 pounds.
- Ability to work in warehouse and occasional job site environments.
- Regular use of computers and handheld devices.
