About the role

The Assistant Project Manager supports the Project Manager by planning, organizing, and directing operations for ongoing projects. This role performs project-related tasks and provides administrative and clerical support.

Responsibilities

  • Maintain, organize, and stay informed of SharePoint job folders.
  • Research vendors in areas where work is performed.
  • Support closing punch lists.
  • Build, develop, and grow relationships with vendors, sub-contractors, and field personnel.
  • Coordinate scheduled construction activities with team members.
  • Manage the change order process.
  • Create, maintain, coordinate, review, and send for approval all project documentation, including drawings, submittals, RFIs, and support materials.
  • Prepare project update reports, proposals, daily logs, meeting agendas, requests for information, and other miscellaneous documents.
  • Provide field coordination support to align design intent with actual installation methods.
  • Capture project photos from start to finish.
  • Assist with Work-in-Progress (WIP) updates throughout the month.
  • Support the Project Manager with customer-specific project management software (e.g., Procore).
  • Work closely with the Project Manager to meet deadlines for:
    • Quoting buyouts, gear, and packages.
    • Requests for Change.
    • Project schedule support.
    • WIP updates.
  • Assist in project proposal submissions and follow-up.
  • Maintain vendor relations and perform field purchasing as requested.
  • Quote materials and manage project subcontracts and change orders, acting as a liaison between vendors and InPwr.
  • Support project QA/QC efforts and as-built coordination.
  • Handle material requests.
  • Supervise and manage coordination of:
    • Manufacturer submittal documentation.
    • Operation and Maintenance documentation.
  • Perform other duties as assigned based on business needs.

Requirements

  • Excellent quantitative and analytical skills.
  • Strong computer skills, including proficiency in Microsoft Office products.
  • Ability to learn new software quickly; knowledge of estimating software such as Bluebeam and Accubid.
  • Outstanding interpersonal skills, including excellent verbal and written communication.
  • Problem-solving capabilities to identify and resolve issues analytically and timely.
  • Effective time management through planning, organization, and handling multiple initiatives simultaneously.
  • Ability to work as an effective team member, balancing individual and team responsibilities.
  • 75% travel to job sites; 25% remote work.

Working Environment & Physical Demands

This is a stationary position requiring frequent sitting or standing, repetitive wrist motions, grasping, speaking, listening, close vision, color vision, and the ability to adjust focus. The employee must occasionally lift and/or move up to 50 pounds. Must be physically able to work in warehouse and job site environments, and regularly use computers and handheld devices.
