The Opportunity
The Transportation Department is seeking a Transportation Operations Support Coordinator to join its team. Under the direction and supervision of the Transportation Director, this position is responsible for coordinating and supporting the day-to-day operations of the Transportation Department to ensure the efficient delivery of transportation services.
Key Duties and Responsibilities
- Provide daily dispatch support during morning and afternoon bus operations. Activities include answering incoming phone calls, troubleshooting service issues, communicating with transportation vendors, and providing real-time customer service to families and schools.
- Collaborate with CPS transportation vendors and other district departments to arrange and monitor Door to Door Transportation services for eligible students. Attend off-site vendor meetings when necessary.
- Lead purchasing and accounts payable processes for the Office of Transportation. Create and manage purchase orders (POs) for transportation services. Review and confirm vendor invoices for accuracy and compliance.
- Maintain financial tracking documents to reflect real-time balance and collaborate with team members to manage transportation budgets. Attend all budget and finance-related training and meetings. Collaborate with CPS finance teams, including Facilities Finance and Operations Manager, on behalf of the Office of Transportation.
Secondary Responsibilities
- Learn, implement, and optimize the use of transportation tracking systems and related technologies.
- Extract reports from Aspen, Athena, and Beacon Connect to generate comparisons and projections on how to improve routes and assignments in support of meeting on-time performance metrics.
- Support incident reporting and monitoring by documenting and tracking requests for on-board video footage involving students.
Your Skill Set
- High School diploma required; associate’s or bachelor’s degree preferred
- Prior experience, 3+ years in a customer service role in an office or school setting.
- Familiarity with K-12 transportation systems and DOT rules and regulations, and/or experience working with vendors managing group transportation services.
- Strong communication, organization, and problem-solving skills
- Proficiency in office software (e.g., Google Workspace, Microsoft Office), and familiarity with or ability to learn transportation routing systems. Strong skills in Excel or similar data management software are preferred.
- Able to support team functions and cross-coverage, and to manage multiple priorities in a fast-paced environment.
