Responsibilities
- Plans, directs, and controls the work of transporters and dispatchers to ensure safe, courteous, and timely processing of all requests for movement of patients and non-patient items on any assigned shift.
- Monitors equipment used by the Central Transportation Department, including proper functioning, safety, cleanliness, and employee usage.
- Completes and updates equipment inventories as required in ISISpro.
- Accurately tracks the use of phones and other communication devices by service workers.
- Participates in hospital committees and patient care teams to improve quality, satisfaction, and safety.
- Seeks advanced training and sets an example for commitment, dedication, and adaptability within the department.
- Works collaboratively as a team player within the Central Transportation Department and the facility.
- Reports to work on time and as scheduled, adhering to a flexible schedule, including weekends, evenings, and holidays.
- Complies with dress code and uniform standards; wears hospital-issued identification while on duty.
- Uses computerized time systems or other time-monitoring tools accurately.
- Performs additional duties as instructed by the Transport Manager.
- Maintains compliance with Advocate Health Care’s operational standards and Business Conduct Policy.
- Assists the Director with operational duties, performance improvement, and process design activities.
- Provides one-on-one direction to transportation staff regarding daily assignments or performance improvement.
- Compiles daily and monthly statistics for patient transportation and oxygen tank violations.
- Notifies the manager of any disciplinary issues involving transportation associates.
- Acts as a troubleshooter to resolve issues with physicians, patients, nurses, and others to ensure departmental quality and flow.
- Serves as coordinator for the Service Breakthrough team to ensure departmental efficiency and accuracy.
- Assists the manager with departmental scheduling, including vacation requests.
- Fosters a supportive, harmonious, and efficient work environment for transportation staff.
- Interviews potential associates, trains new staff, and provides ongoing education for existing staff.
- Monitors staff performance using direct and indirect methods, such as statistical reports.
- Ensures staff members are trained in public relations, professionalism, telephone etiquette, and Advocate’s Service First policy.
- Assists in policy and procedure development and the budget and capital planning process for the Central Transportation Department.
- Answers all incoming calls by the third ring, using courteous customer service skills.
- Enters information into the appropriate system and organizes calls for timely dispatch.
- Accurately dispatches calls to the correct area and prioritizes them as needed.
- Calls customers to ensure their expectations were met.
- Performs a variety of clerical tasks, including typing, report preparation, filing, copying, faxing, and HR-related assignments.
- Uses proper English, grammar, punctuation, and composition in all written materials.
- Utilizes hospital systems for purchasing, office supply orders, and communication device distribution.
- Maintains a neat and clean work area and performs weekly and monthly safety checks on the transport stage area.
- Develops and maintains systems for organizing work and information, actively improving quality.
- Performs Business Associate duties and participates in hospital Emergency Preparedness and other assigned committees.
- Transports specimens, commodities, and patient care equipment to and from assigned areas.
- Returns oxygen tank cylinders to the proper location and coordinates transportation duties, including decontamination and maintenance of equipment.
- Completes computer entry and documentation for all service requests via the “Dispatch” system.
- Dispatches and transports patients as needed.
- Participates in mandatory in-service and education programs relevant to departmental goals.
- Attends in-service programs on equipment use and operation.
- Maintains CPR certification and ensures all associates maintain current certification.
- Promotes patient safety by reporting issues through established channels and participating in safety initiatives.
Requirements
- High school diploma or GED.
- 2-3 years of related healthcare experience.
- Ability to communicate fluently in English (verbal and written).
- Ability to use all communication devices within the transportation department correctly.
- Ability to apply elementary math functions.
- Ability to work under time constraints and meet deadlines.
- Ability to follow detailed written and oral instructions.
- Ability to maintain professional working relationships with staff, coworkers, subordinates, and supervisors.
- Ability to learn basic computer hardware and software functions.
- CPR certification required within 90 days of hire.

- For positions with direct patient care or contact: Ability to lift up to 35 pounds without assistance. For lifts over 35 pounds or when the patient cannot assist, patient handling equipment must be used with at least one other associate when available. Unique patient lifting situations will be assessed case-by-case.
