Responsibilities

  • Aid in drafting, organizing, and managing documents related to real estate transactions.
  • Support public finance transactions by preparing and organizing various documents.
  • Assemble and submit transcripts to the Texas Attorney General's Office.
  • Prepare and format legal documents, correspondence, presentations, and other materials.
  • Enter timesheets, review prebills, and process billing revisions.
  • Review vendor invoices and prepare check requests for payment.
  • Maintain and organize transaction files and supporting documentation.
  • Coordinate attorney calendars, deadlines, meetings, and appointments.
  • Monitor and follow up on client and transaction-related activities.
  • Coordinate logistics for meetings, closings, training programs, and business development activities.
  • Manage and organize hard-copy and electronic files within the Firm's document management system.
  • Ensure proper storage, retrieval, and maintenance of legal records and transaction documents.
  • Provide professional customer service to clients, vendors, attorneys, and internal stakeholders.
  • Collaborate effectively in a team-oriented environment.
  • Perform overflow assistance and additional administrative duties as assigned.

Qualifications

  • Minimum of 3-5 years of legal administrative support experience within a transactional practice.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with document management systems (iManage preferred).
