Job Summary
Performs a variety of administrative and support functions with accuracy, confidentiality, and timeliness to ensure the efficient and effective operation of the department.
Responsibilities
- Provides administrative support for departmental operations by performing a wide range of specialized and non-routine tasks.
- Sets up training space, welcomes new employees, ensures all required documents are submitted, issues ID badges, guides participants through the orientation schedule, and manages follow-up communication and surveys for new hire orientation.
- Maintains and updates the county’s Learning Management System (Moodle), including course creation, session entry, attendance logging, compliance tracking, and report generation.
- Supports leadership development programs by processing participant agreements, scheduling training, coordinating materials and catering, and tracking completion of requirements and certifications.
- Generates quarterly HRIS reports, identifies non-compliance, notifies departments, collects updated documentation, and maintains records related to Mandated Reporter and Child Abuse Clearance requirements.
- Prepares materials for training sessions, including sign-in sheets, handouts, name tents, and supplies, and provides support for Unemployment Compensation claims by monitoring the benefits system, submitting required documentation, and coordinating responses.
- Serves as a point of contact on the HR main phone line, routing calls appropriately, and ensuring backup coverage. Performs data entry, maintains departmental databases, assists with website updates, and manages filing systems.
- Supports documentation and tracking for unemployment claims, leave management (e.g., LOA, FMLA, Workers’ Comp), and related paperwork. Drafts and updates forms, correspondence, and reports as needed.
- Handles mail distribution, attends required meetings and trainings, and coordinates department schedules and activities. Assists in organizing employee events.
- Provides backup to the HR Assistant (under the Compensation & Recruitment Manager), including processing new hires, coordinating pre-employment requirements, issuing conditional offer letters, onboarding in the applicant tracking system, and ensuring personnel files are complete.
- Assembles new hire packets in advance of orientation and performs other duties as assigned.
Education & Work Experience
- High school diploma or equivalent required.
- Proficient in Microsoft Office Suite, with demonstrated working knowledge of Word, Excel, PowerPoint and Outlook.
- Minimum of 1-2 years of experience in a professional office setting or related administrative field.
