About the Role

As the Therapy Front Representative, you will manage all front-end office functions for the Therapy department, from the patient's first visit through discharge. This role is central to ensuring smooth operations, excellent patient experiences, and effective communication between patients, therapists, and the business office.

Responsibilities

  • Provide excellent customer service at all times.
  • Obtain therapy benefits for all patients, including walk-over splints.
  • Monitor current therapy prescriptions for expiration or fulfillment.
  • Retrieve and return all voice messages promptly and professionally.
  • Maintain clear communication with therapists regarding all patient matters.
  • Contact patients in advance about insurance issues, such as terminated coverage or unauthorized visits.
  • Keep the work area tidy and free from clutter.
  • Check and respond to all voicemail messages.
  • Cross-train in all therapy front desk areas.
  • Attend and participate in monthly staff and front desk meetings.
  • Perform duties with professionalism and courtesy.
  • Ensure all tasks are completed before the end of your scheduled shift.
  • Acknowledge and greet all patients upon arrival.
  • Collect co-payments, co-insurance, and deductibles at the time of service.
  • Explain new patient paperwork and benefits in detail.
  • Follow up on inactive patients.
  • Call patients from Athena orders.
  • Schedule all therapy patients (new and established) according to the Therapy Plan of Care.
  • Communicate effectively with patients, visitors, and all team members.
  • Complete chart discharge procedures and prepare records for medical files.
  • Distribute and collect mail twice daily.
  • Perform all other duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • Customer service skills.
  • Experience in a medical environment preferred.
