About the Role

The Technical Program and Peer Review Associate plays a leadership role in high-quality technical program development and peer review processes for IEEE conferences. This customer-centric role supports IEEE conferences by ensuring the production of quality programs and proceedings, facilitating transparent quality control, and providing expertise in coordination, account management, and compliance. The Associate bridges gaps, identifies strategic opportunities, and works with volunteer organizers and staff teams to maintain high standards in conference proceedings and review processes.

Responsibilities

  • Provides support to conference Technical Program Management (TPM) and Peer Review activities.
  • Delivers accurate and timely written and oral communication, routing requests to appropriate subject matter experts.
  • Manages input and maintenance of key information related to authors, reviewers, and conference management.
  • Supports Conferences, Events & Experiences (CEE) activities, projects, and initiatives, including data gathering and research for TPM and peer review inquiries.
  • Educates and assists conference organizers and authors with IEEE publishing requirements for high-quality TPM and peer review processes.
  • Manages the TPM process for IEEE conferences, tracking workflows for proceedings, processing, and evaluation.
  • Assists in producing Technical Digests/Proceedings and ensures compliance with IEEE guidelines and copyright requirements.
  • Researches, innovates, and proposes metrics, analyses, tools, or process changes to improve operations.
  • Reviews and ensures all proper paperwork is filed with IEEE, including Xplore, compliance, and publications forms.
  • Assists IEEE Conference Volunteers with compliance procedures and policy interpretation.
  • Generates conference-related reports upon request and tracks paper submission activities for Invited Speakers.
  • Tests upgrades and revisions to paper management systems and ensures deadlines are met, escalating issues as needed.
  • Supports Conference Quality team operations, including preparation of materials for committee review and organizer communications.
  • Interfaces with other IEEE publication organizations to ensure efficient end-to-end operational performance.
  • Maintains conference data and ensures the integrity of the IEEE Conference Database for reporting.

Requirements

  • Bachelor of Arts or Sciences degree in a liberal arts/sciences curriculum emphasizing research and writing.
  • 5 years of relevant business experience, including supporting technical program management projects and peer review practices.
  • Experience in a customer-focused environment with skills in project and task management, including defining requirements, planning, and scheduling.
  • Experience in analyzing and managing administrative processes and quality efforts.

Skills

  • Technologically savvy with advanced competency in Microsoft Office tools (Word, Excel, PowerPoint).
  • General knowledge of email and experience with web social networking tools (e.g., LinkedIn, Facebook).
  • Ability to understand and integrate new technologies into existing processes.
  • Fluency in English with excellent grammar, syntax, and proofreading abilities.
  • Strong skills in preparing PowerPoint presentations with multimedia components for diverse audiences.
  • Ability to write clear and effective correspondence and comprehend incoming communications.
  • Excellent interpersonal skills to interact diplomatically with staff, volunteers, management, and external partners.
  • Ability to plan, prioritize tasks, and balance multiple projects with minimal supervision while meeting deadlines.
  • Strong organizational, multitasking, and problem-solving skills.
  • Ability to handle large volumes of correspondence and documentation.
