About the role

The Patient Encounter Specialist plays a crucial role in ensuring smooth and efficient patient interactions within the healthcare facility. This position involves managing patient appointments, registrations, and check-ins, as well as providing excellent customer service to patients and their families.

Responsibilities

  • Patient Registration: Greet and assist patients during the registration process. Collect and verify patient demographic and insurance information. Enter patient data accurately into the electronic medical records system.
  • Appointment Scheduling: Schedule patient appointments according to provider availability. Confirm appointments via phone or email and provide necessary instructions to patients.
  • Check-In/Check-Out Process: Manage patient check-in and check-out procedures efficiently. Collect co-payments or payments for services rendered. Coordinate with clinical staff to ensure timely rooming of patients.
  • Customer Service: Provide friendly and professional assistance to patients and visitors. Address patient inquiries, concerns, and complaints in a timely manner. Maintain a welcoming and organized reception area.
  • Collaboration: Communicate effectively with clinical staff, administrative personnel, and other departments to coordinate patient care. Assist in facilitating referrals to specialists or other healthcare providers as needed.
  • Documentation: Ensure accurate and complete documentation of patient encounters. Maintain confidentiality and compliance with HIPAA regulations in handling patient information.

Qualifications

  • High school diploma or equivalent required.
  • Experience in a healthcare setting preferred.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Basic computer skills, including proficiency with Microsoft Office.
