Hunton Andrews Kurth LLP, an international law firm, is seeking a Temporary Professional Assistant for the Labor and Employment team in the Los Angeles office.
About the role
This temporary position performs specialized and secretarial/administrative duties for the practice area, clients, and the firm. The role provides staff leadership in supporting firm, office, and team initiatives while ensuring client services and satisfaction are attained.
Responsibilities
- Provide general administrative support, including managing attorneys' inboxes, updating calendars and contacts, utilizing Foundation, reviewing and routing internal and external mail, and managing client matter files and folders.
- Monitor and determine action items for incoming electronic files (e.g., faxes, client documents, court filings) and ensure appropriate distribution.
- Comply with the firm’s Client File Maintenance policy for both electronic and hardcopy files, ensuring:
- Central files are maintained for each client matter.
- All hardcopy files are barcoded and labeled appropriately throughout the life of each matter.
- All electronic files are stored in iManage in the appropriate client matter folders.
- Files are closed in a timely manner.
- Maintain and monitor workrooms to ensure compliance with the firm’s Records policy.
- Coordinate with assigned attorneys to ensure client/matter electronic materials (emails, documents, etc.) are stored in iManage, not in Outlook folders or drives.
- Provide administrative support to attorneys for managing electronic files, including moving emails from Outlook to iManage and filing attachments appropriately.
- Work with attorneys and team members to promote a paperless workplace through technology utilization.
- Create, proofread, and edit letters and complex legal documents from various sources (electronic versions, handwritten drafts, rough notes, or tape dictation).
- Draft transmittal letters and standard memoranda, review and proofread all outgoing materials, and perform document cleanup for external documents in accordance with firm standards.
Requirements
- High school diploma or equivalent required; college degree preferred.
- Minimum of three years of legal secretarial experience (or equivalent work experience) required; prior law firm experience preferred.
- In-depth knowledge of firm and team-specific software, including word processing, document management, file management, spreadsheets, calendaring, and time management.
- Proficiency in Microsoft Office and PDF required; proficiency in iManage and other firm software applications preferred.
- Fundamental accounting aptitude, proficiency with accounting software, and experience interpreting and analyzing client accounting reports preferred.
- Accurate typing skills, strong word processing abilities, and familiarity with legal terminology and procedures.
- Ability to generate a large volume of work while maintaining strict attention to detail.
- Excellent communication skills, including high-quality spelling, punctuation, and grammar.
- Initiative in problem-solving and capability to make sound decisions with minimal instruction.
- Ability to work under pressure, prioritize workload, and adapt to changing conditions.
- High stress tolerance, patience, diplomacy, and strong interpersonal communication skills.
- Visual acuity for transcription, extensive reading, and moderate to advanced keyboard usage.
- Ability to sit or stand for extended periods and perform physical tasks such as lifting, carrying, reaching, stooping, or bending for filing or moving files/supplies (up to 5-10 pounds).
- Ability to receive and convey detailed information through written and oral communications.
- Essential competencies include language ability, reasoning, and memory.
- In-office attendance required in accordance with firm policies.
- Flexibility to work overtime on short notice and in a cooperative, team-oriented manner.
