Legal Aid at Work (LAAW) partners with people to help them understand and assert their workplace rights, and advocates for employment laws and systems that empower low-paid workers and marginalized communities. LAAW has seven core program areas: Community Legal Services; Disability and Health Justice; Gender Equity & LGBTQ Rights; National Origin and Immigrants’ Rights; Racial Economic Justice; Wage Protection; and Work & Family. Through these programs, LAAW provides free, individualized legal advice and counsel throughout California to thousands of low-income workers; pursues targeted enforcement and impact litigation to strengthen and clarify the law; conducts community outreach and education; and advocates for laws, regulations, and policies at the local, state, and national levels to strengthen civil and workplace rights.

About the role

The Temporary Intake Specialist will report to the VP of Programs and Litigation and will assist in managing LAAW’s intake and referral system. This full-time, temporary position begins immediately and continues through September 30, 2026, with a possibility of extension if agreed upon by both parties. The Specialist will answer incoming calls and emails, conduct callbacks and intakes, collect pertinent information about caller/client employment law matters, route clients to the appropriate team or schedule clinic appointments, share LAAW guides and educational materials, and refer clients to outside organizations when necessary.

The role requires a client-centered approach in a high-volume, responsive, and detail-oriented environment, with strong follow-up and follow-through to ensure all relevant information is documented accurately in LAAW’s case management system. The Specialist will work closely across Program teams to ensure clarity and alignment around intake criteria and must be professional, courteous, and knowledgeable about LAAW’s services.

Responsibilities

  • Answer incoming calls and emails, and conduct callbacks and intakes.
  • Collect pertinent information about caller/client employment law matters.
  • Route clients to the appropriate team or schedule clinic appointments.
  • Share LAAW guides, sample letters, and educational materials.
  • Refer clients to outside organizations for additional expertise when necessary.
  • Ensure all relevant information is documented consistently and accurately in LAAW’s case management system.
  • Provide proper callbacks to obtain additional information or deliver necessary legal information under attorney supervision.
  • Work collaboratively across Program teams to maintain clarity and alignment around intake criteria.

Requirements

  • Minimum of 3 years of relevant office and administrative experience.
  • Proficiency in and comfort with databases and/or CRM systems (such as Salesforce or similar platforms).
  • Demonstrated success in data management and hygiene; experience with database reporting is a plus.
  • Excellent communication and client-service skills, with the ability to handle a heavy call volume with tact and empathy.
  • Fluency in Spanish is preferred but not required.
  • High level of professionalism and ability to manage sensitive, personally identifiable information while maintaining confidentiality.
  • Strong organizational and administrative skills in a fast-paced environment; proactive and efficient work style.
  • Able to work independently, cooperatively, and courteously with the public, attorneys, law students, and community volunteers.
  • Able to remain calm under pressure.
  • Demonstrated commitment to social justice and civil rights work, and passion for Legal Aid at Work’s mission.
  • Commitment to diversity, equity, and inclusion, with the ability to hold and foster difficult conversations about sex, race, color, national origin, sexual orientation, gender identity, disability, and other protected categories.

While LAAW maintains an office in San Francisco, candidates may be based anywhere in the state of California. Legal Aid offers employees the flexibility to work primarily from home, contingent on business needs and professional responsibilities. Strong preference will be given to applicants with personal or professional experience working with impacted communities. This is a non-exempt position operating on a 35-hour work week.

Pay

The current salary range for Specialists is $82,742 to $108,484, depending on years of relevant experience.
