About the role

The Tax Specialist is responsible for processing payroll and sales-related business taxes across federal, state, and local jurisdictions while ensuring compliance with applicable tax laws and regulatory requirements. This role researches and resolves tax issues, manages tax notices and agency correspondence, performs tax reconciliations and data validation, and ensures accurate and timely tax filings and payments. The Tax Specialist analyzes trends, identifies root causes of tax issues, and recommends process improvements that enhance operational efficiency, accuracy, and compliance.

Success in this role requires strong analytical and problem-solving skills, attention to detail, and the ability to manage multiple priorities while consistently delivering accurate results and meeting regulatory deadlines. The Tax Specialist collaborates effectively with internal teams and government agencies to provide exceptional service and support operational excellence.

Responsibilities

  • Process payroll and sales-related business tax filings accurately and timely across all applicable federal, state, and local jurisdictions.
  • Prepare and process original, amended, and delinquent tax returns and associated tax payments.
  • Research tax notices and liaise with appropriate tax agencies for clarification and resolution.
  • Investigate tax discrepancies, identify root causes, and implement corrective actions to prevent recurrence.
  • Process amended returns, payment corrections, account reconciliations, and agency adjustments as necessary.
  • Document findings, resolutions, and preventative actions to improve future processing accuracy.
  • Research federal, state, and local payroll and sales tax laws to ensure continued compliance.
  • Recommend updates to internal procedures to support ongoing compliance and operational excellence.
  • Participate in automation initiatives and implementation of new technologies that enhance tax operations.
  • Support continuous improvement initiatives through documentation, testing, and process refinement.
  • Deliver exceptional customer service through timely, professional, and accurate communication.
  • Collaborate effectively with internal departments to resolve client and operational issues.

Requirements

  • Strong ability to identify issues and resolve problems in a timely and efficient manner, ensuring compliance and accuracy.
  • Effective verbal and written communication skills when interacting with clients, agencies, and internal stakeholders.
  • Proficiency using payroll systems, tax software, reporting tools, and Microsoft Office applications.
  • Ability to manage time effectively, prioritize tasks, and self-start projects, ensuring deadlines are met without supervision.
  • Excellent organizational skills with the ability to manage multiple priorities while meeting deadlines.
  • Ability to work independently while contributing positively within a collaborative team environment.
  • In-depth knowledge of state employment tax, sales tax, and federal/state tax laws, with the ability to apply this knowledge in a business context.
  • Demonstrated experience processing federal, state, and local payroll tax filings and payments across multiple jurisdictions.
  • Experience working in a fast-paced, deadline-driven environment while managing multiple priorities with a high degree of accuracy.
  • Strong customer service experience with the ability to communicate professionally with clients, government agencies, and internal stakeholders.
  • Minimum of 3 years of experience in payroll tax, sales tax, or a related tax compliance role.
