Tax & Grant Associate
About the role
The Associate, Tax and Grant will support BAYADA’s nonprofit, tax, and grant compliance functions while demonstrating and promoting The BAYADA Way. This position prepares and files multi-state Sales & Use, Personal Property, and Gross Receipts/Business Privilege tax returns, maintains tax exemptions, and ensures accurate, compliant application across transactions. The role also aids in nonprofit annual reporting, assists with charitable registrations, supports donation intake and general ledger reconciliation, and manages critical aspects of the grant lifecycle—including researching opportunities, developing and monitoring budgets, maintaining grant data, tracking expenditures, and preparing funder reports. Additionally, the position may support audit activities, including funder-initiated reviews and tax-related examinations.
Responsibilities

- Prepare and file Sales and Use Tax returns; renew applicable sales tax exemptions and review transaction-level activity for compliance.
- Prepare and file Personal Property Tax returns.
- Prepare and file Gross Receipts/Business Privilege Tax returns.
- Research city, county, and state-level business license requirements; assist in completion of applications or renewals.
- Assist in preparing nonprofit and tax annual filings with the IRS and State Revenue agencies, including data extraction, analysis, schedule compilation, and review.
- Support the donation intake process by recording and reviewing general ledger activity, reconciling reports, monitoring compliance with nonprofit guidelines, and preparing annual charitable registration extensions and renewals.
- Support the discovery, research, analysis, and application of new grant opportunities from Federal, State, Local, and Private Foundations.
- Determine permissible use of awarded grant dollars and assist in creating/reviewing grant-specific budgets to ensure adherence to requirements.
- Ensure receipts/disbursements are appropriately captured in the general ledger at an individual grant level.
- Maintain and monitor grant-related activities in the grant database, including contact and account additions, budget adjustments, task tracking, reconciliations, and reporting.
- Refine processes for tracking grant receipts/disbursements to minimize manual intervention.
- Monitor grant-specific spending against budgets and distribute periodic reports to internal stakeholders.
- Prepare and submit funder-required reports, including invoices and substantiation, in advance of deadlines.
- Support the annual Single Audit engagement and any tax or funder-initiated audits.
- Aid in capturing uncompensated/undercompensated client care and quantifying the value of BAYADA’s community outreach efforts.
- Perform related duties as required or requested by supervisor.
Requirements

- Four-year college degree in Accounting or Finance.
- One to three years of public accounting or related industry experience; prior nonprofit experience is a plus.
- Proficient in Windows and Microsoft Office (Excel and Word); ability to learn various software applications (e.g., Workday).
- Strong understanding of US GAAP concepts, practices, and procedures.
- Ability to manage multiple assignments and meet competing deadlines in a fast-paced environment.
- Ability to work independently and question/challenge the status quo to improve efficiency, accuracy, and outcomes.
- High level of confidentiality, attention to detail, and commitment to accuracy.
Pay
Base Pay: $24–$28 per hour, depending on qualifications. Bonus opportunity available.
