Pelvic Rehabilitation Medicine is a physician-led specialty healthcare organization providing evidence-based, individualized treatment services for individuals suffering from chronic pelvic pain. Approximately 15-25% of men and women experience pelvic discomfort, with chronic pelvic pain affecting 28 million women in the U.S. and projected to grow to 43.6 million by 2050. The organization, founded in 2017 and headquartered in West Palm Beach, FL, has experienced rapid growth, attracting patients nationally and internationally. As a Surgical Coordinator, you will play a key role in scheduling and coordinating outpatient medical procedures while supporting practice growth.

Responsibilities

  • Schedule outpatient medical procedures, ensuring appropriate provider and time/location slots.
  • Request pre-operative clearances from primary care physicians' offices.
  • Submit booking orders to outpatient surgical centers.
  • Provide patients with surgical paperwork, including consents, drop instructions, pre/post-operative instructions, and financial responsibility details.
  • Deliver accurate, detailed information to patients regarding test preparations, arrival times, and other directional information; respond to patient questions.
  • Review pre-operative instructions and medications with patients while maintaining confidentiality.
  • Ensure a great patient experience by making patients feel welcomed, understood, and appreciated during consultations and on the day of surgery.
  • Achieve company-set key performance indicators and maintain surgical schedules for surgeons.
  • Notify patients of all scheduled appointments.
  • Verify insurance coverage and obtain necessary authorizations.
  • Prepare all paperwork for physicians for surgery.
  • Ensure all pertinent information for upcoming surgeries (e.g., booking sheets, insurance details, prior authorizations, pre-op/medical clearance) is sent to the appropriate surgical facility.
  • Answer telephone inquiries from patients and primary care physicians regarding surgery and related concerns.

Business Development & Practice Growth

  • Support surgeons in building and maintaining referral relationships with OB/GYNs, PCPs, pain management specialists, physical therapists, and fertility clinics.
  • Coordinate office visits and lunches for local offices to foster relationships.
  • Track referral patterns and generate reports to inform strategic outreach.
  • Follow up with prospective patients and referring providers to encourage continuity of care and promote surgical treatment options.
  • Collaborate with the growth and operations teams to implement local campaigns aimed at increasing surgical volume.
  • Act as a liaison between the practice and local healthcare networks to strengthen PRM’s reputation and reach.
  • Monitor trends in patient inquiries, cancellations, and referral conversions to provide actionable insights.

Requirements

  • High School Diploma or equivalent.
  • 2-4 years of full-time surgery scheduling experience.
  • Willing and able to follow directions and adhere to priorities.
  • Must have a can-do, will-do attitude.
  • Superior knowledge of coding guidelines and reimbursement schemes.
  • Exceptional organizational and computer skills.
  • Conversational knowledge of medical terminology, acronyms, and techniques.
  • Excellent written and oral communication skills.
  • Solid analytical skills.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • 3 years of eClinicalWorks RCM experience in patient account and denial management.

Pay

$24 - $28 per hour.
