Epiphany Dermatology, headquartered in Austin, TX, is on a mission to improve access to dermatology services and provide exceptional patient care in underserved markets across the U.S. We are looking for a service-oriented, motivated Surgical Coordinator to join our fast-growing team. With ambitions to increase our reach over the next four to five years, our company has expanded from a single site in 2015 to over 100 dermatological clinics nationwide.
Surgical Coordinators provide critical support in scheduling surgeries, verifying patient insurance benefits, and ensuring efficient surgical operations. This role requires professionalism, effective communication, and a strong commitment to patient care.
Responsibilities
- Provide excellent customer service to patients, referring providers, and healthcare professionals in person, by phone, and in writing.
- Contact review organizations and insurance companies to ensure prior approval requirements are met, presenting necessary medical information such as history, diagnosis, and prognosis.
- Provide specific medical information to financial services to maximize reimbursement.
- Assist patients in navigating healthcare system barriers, including financial or social challenges (e.g., arranging interpreters, transportation, or prescription assistance).
- Serve as the primary point of contact and system navigator for patients and families, addressing questions and concerns.
- Advocate for patients with insurance carriers to secure timely approval of necessary supplies or services.
- Manage incoming phone calls, emails, messages, and referrals to resolution in a timely manner.
- Maintain medical records with timely input of scans, documents, or test results.
- Collaborate with the healthcare team to ensure smooth patient flow and efficient operations.
- Problem-solve obstacles to throughput, resolve backlogs, and document unresolved concerns.
- Assist with time-sensitive tasks, including prescription refills, patient letters, and EMR messages per protocols.
- Participate in staff meetings, providing constructive input for improvements and solutions.
- Perform other duties as assigned.
Requirements
- High School Diploma required.
- Two (2) years of experience as a medical receptionist highly preferred, preferably in a medical practice or ambulatory environment.
- Ability to adjust personal availability according to volume changes and activity surges.
- Adherence to compliance programs and HIPAA standards and policies.
- Willingness to receive and apply constructive feedback for performance improvement and growth.
- Knowledge of the insurance industry and strong computer skills highly desired.
Work Environment and Physical Requirements
This role operates in a medical office, procedure/exam room, and laboratory environment, which may include exposure to communicable diseases, bloodborne pathogens, biohazards, or toxic substances. Daily activities may involve standing, walking, sitting, bending, and lifting items up to 30 lbs.
