Surgery Support Coordinator
About the Role
We are looking for a Surgery Support Coordinator to join our team at Texas Urology Specialists in Webster, TX. This is a full-time position with a Monday-Friday 8am-5pm schedule, no weekends, call, or major holidays. The position level (1, 2, or 3) will be determined based on the candidate's relevant experience.

Responsibilities
- Support internal surgery scheduling from physician’s orders with minimal supervision.
- Maintain a close working relationship and good communication with the physician.
- Reserve operating room dates and times, and schedule anesthesia, surgical assistants, and any outside surgical representatives or equipment.
- Provide patients with pre-operative testing information as ordered by the physician.
- Obtain and review pre-operative testing results as directed by the physician.
- Obtain necessary insurance authorization and pre-certification using proper Procedure (CPT) and Diagnosis codes (ICD-10).
- Communicate surgical information, prep instructions, and appointment details to patients.
- Assist in orienting, training, and assigning work to lower-level employees.
- Plan, implement, coordinate, evaluate, and promote continuity of care consistent with established standards.
- Review patient medications and health history, which may impact surgical clearance.
- Coordinate, schedule, and authorize pre-operative clearance testing and diagnostic imaging (e.g., CT, MRI, US, X-Ray).
- Scan surgery documents into the EMR (e.g., signed surgery orders, consents, cardiac clearance, authorizations).
- Serve as a patient advocate and liaison between the patient, payor, office, and facility to answer questions and escalate issues.
- Ensure reports (e.g., Pathology, OR) are captured in the patient chart.
- Verify that surgical pathology reports are in the chart and all patients return for follow-up as ordered (including stent removals/exchanges).
- Obtain missing pathology reports and schedule any needed appointments.
- Sequence, prioritize, follow up, and multi-task based on multiple provider inputs.
- Adhere to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.
Qualifications
The ideal candidate will meet the following requirements based on position level:
- Level 1:
- High School diploma or equivalent.
- 0-2 years of surgical practice/office work experience, including insurance authorization, verification, or scheduling.
- Ability to explain patient responsibility in accordance with their benefits plan.
- Knowledge of medical and surgical terminology.
- Excellent written and verbal communication skills, with the ability to multitask.
- Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel).
- Level 2 (in addition to Level 1 requirements):
- At least three years of experience in a clinical or procedural scheduling environment, including insurance authorization, verification, and scheduling.
- Level Sr (in addition to Level 1 and 2 requirements):
- High School diploma or equivalent; Associate’s or Bachelor’s Degree preferred.
- At least five years of surgical practice/office work experience, including insurance authorization, verification, or scheduling.
Schedule
Full-time, Monday-Friday, 8:00 AM - 5:00 PM. No weekends, call, or major holidays.
Working Conditions
The work environment may involve exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations, and other conditions common to an oncology, hematology, or surgery center.
Physical Requirements
- Requires full range of body motion, including manual and finger dexterity, and eye-hand coordination.
- Occasionally lifts and carries items weighing up to 40 lbs.
- Requires corrected vision and hearing to a normal range.
