About the role
This position acts as a customer-oriented liaison between physician offices and the surgery center. Primary functions include scheduling surgical procedures using a computerized system and entering patient demographic and billing information.
Responsibilities
- Coordinates case times for elective procedures in a computerized scheduling system.
- Verifies and reviews physician privilege status prior to scheduling.
- Interfaces with medical staff offices to maintain logs of current privilege status while maintaining confidentiality.
- Acquires and maintains physician preference information and staff rosters.
- Obtains authorization numbers, History and Physicals, and verifies current laboratory test results.
- Orders previous medical records for the day of the procedure when necessary.
- Types and prints physician orders for multiple physicians and departments.
- Schedules and maintains physician block time and block time releases in partnership with the CEO and Business Development to optimize the schedule.
- Enters physician’s orders for lab, blood bank, medical imaging, and cardiology.
- Enters results of diagnostic tests, patient registration information, and patient charges.
- Compiles data and prepares statistical reports for management.
- Organizes and prioritizes case volume growth initiatives.
- Works with internal Atlas team members and the CEO to identify growth opportunities and mitigate service concerns for physician offices.
- Performs physician office site visits with the Business Development team to build customer relationships and address service concerns.
- Executes and documents all activities specified in the Scheduler’s initiative.
- Participates in quarterly business development strategic meetings.
- Acts as a patient liaison to the surgery center by greeting and directing patients, visitors, physicians, and families, and answering questions about policies and procedures.
- Relays patient data among nursing, physicians, and staff.
- Screens requests for patient information and refers to appropriate staff.
- Performs other duties as deemed necessary by the CEO to ensure high levels of customer service for physicians, their offices, and all surgery center staff.
- Performs all functions according to established policies, procedures, regulatory and accreditation requirements, and professional standards.
- Provides all customers with an excellent service experience by consistently demonstrating core behaviors each day.
Requirements
- High school diploma or GED required.
- Excellent organizational skills, effective human relations, and communication skills.
- Ability to meet deadlines and productivity standards.
- Knowledge of word processing and spreadsheet software, and ability to use computerized scheduling systems.
- Ability to maintain accurate statistical records, gather data, and produce reports.
Qualifications
- College degree preferred.
- Additional related education and/or experience preferred.
- Skills and abilities typically attained with 2 years of medical clerical experience, preferably in an acute care environment, central scheduling, or physician office setting.
- Knowledge of medical terminology, payor contract terms, and processes.
