Responsibilities
- Build and maintain therapist and client schedules
- Cook up ongoing appointments, schedule changes, cancellations, and make-up sessions
- Maximize therapist productivity while minimizing scheduling gaps
- Monitor authorized therapy hours and ensure scheduling aligns with approved services
- Maintain accurate client records within our Electronic Medical Record (EMR) system
- Track therapist utilization and generate operational reports
- Partner with clinical and operational leaders to balance staffing and caseloads
- Aid families through the scheduling process with professionalism and compassion
- Respond promptly to phone calls and emails
- Identify opportunities to improve workflows and processes
Qualifications
- A High School Diploma or equivalent required
- Experience with scheduling, customer service, healthcare administration, or medical office operations preferred
- Experience working with Electronic Medical Records (EMR) systems preferred
- Knowledge of insurance authorizations, benefit verification, scheduling, or medical billing is a plus
- Proficiency with Microsoft Office or Google Workspace
- Strong computer and data entry skills
