Responsibilities

• Build and maintain therapist and client schedules
• Cook up ongoing appointments, schedule changes, cancellations, and make-up sessions
• Maximize therapist productivity while minimizing scheduling gaps
• Monitor authorized therapy hours and ensure scheduling aligns with approved services
• Maintain accurate client records within our Electronic Medical Record (EMR) system
• Track therapist utilization and generate operational reports
• Partner with clinical and operational leaders to balance staffing and caseloads
• Aid families through the scheduling process with professionalism and compassion
• Respond promptly to phone calls and emails
• Identify opportunities to improve workflows and processes

Qualifications

• A High School Diploma or equivalent required
• Experience with scheduling, customer service, healthcare administration, or medical office operations preferred
• Experience working with Electronic Medical Records (EMR) systems preferred
• Knowledge of insurance authorizations, benefit verification, scheduling, or medical billing is a plus
• Proficiency with Microsoft Office or Google Workspace
• Strong computer and data entry skills
