Support Services Analyst (Engineering & Public Works)
We’re looking for a detail-oriented professional to support our Fleet and Facilities divisions through a mix of administrative, operational, and analytical work. A major focus of this position is asset management, data analytics, and optimization of the resources that keep our organization moving.
About the role
This position is assigned administrative and management work designed to provide professional support. These responsibilities aid department personnel in the development and ongoing administration of fleet, inventory, and facilities programs and services, as well as the management of related administrative functions. The role includes a strong focus on asset management and data analytic initiatives for the Fleet and Facilities divisions, with an emphasis on business intelligence, including predictive analytics to accurately time operational and capital investments, drive efficiency, prioritize capital expenditures, and focus on asset lifecycle costs.
This position assumes responsibility for assigned projects, analyzing different approaches, making recommendations, and supporting the divisions in planning, implementing, and reviewing operational functions and capital improvement projects. Additional responsibilities may include creating contract documents, assisting with bidding and procurement, and preparing materials for divisional presentations.
Responsibilities
- Investigates, evaluates, and analyzes existing and proposed activities to improve support services, increase job productivity, and lower operational costs.
- Assists and trains employees in the effective use of facts, data, and objective analysis for decision-making and process improvement.
- Implements plans for improvement, considering changing conditions, and assesses results.
- Assists in the preparation, coordination, and presentation of the department’s annual budget, vehicle replacement plan, capital improvement program, financial forecasting, and internal fiscal controls.
- Assists in developing and deploying technologies, processes, and tools for communication, business intelligence, asset lifecycle management, preventive maintenance planning/scheduling, budget management, and process automation.
- Acts as program administrator for asset management software, working with staff, other departments, and contractors to maintain and monitor the software, database, and data connections.
- Serves as the Information Technology liaison for the Fleet and Facilities division’s technology and hardware.
- Acts as project lead for special projects, including meeting facilitation and coordination among employees within and outside the department.
- Provides critical input for the development of maintenance management plans for operations divisions.
- Tracks and reports on key performance indicators related to Fleet and Facilities divisions.
- Conducts timely reviews of divisional policies and procedures and makes recommendations for changes, working with designated staff to bring applicable changes to standing committees and the village board for adoption.
- Performs other duties as assigned, which may include preparing and submitting applications for awards and grants.
- May assist with planning, coordinating, and working special events within the department, such as the annual open house, take your child to work day, recycling events, and other assigned events.
- May serve as a point of contact within the department for visitors, community members, and organizational inquiries, implementing appropriate responses related to support services.
- Responds to complaints submitted by the public as directed.
Requirements
- Master’s degree in public or business administration or a related field.
- A minimum of two years of experience in a similar position, which shall have been at the level of administrative or management intern or higher.
- Proficiency with current computer technology, job-specific software, and customer service systems.
Pay
Starting salary range: $88,876.00 - $98,874.00 annually, dependent on qualifications. The full salary range for this position is $88,876.00 - $128,870.00.
