Pact is looking for a Supply Chain Coordinator to support the day-to-day execution that keeps our production and shipment pipeline moving. This role owns the detail work — packing lists, labels, inspection documentation, and PO accuracy — that our factories, freight partners, and internal teams depend on to ship on time and in compliance. It's a hands-on, high-volume role suited to someone who's energized by solving problems in a fast-moving environment.

Work Environment

This role sits at the center of a fast-moving, high-volume operation. Shipment timelines shift, documentation questions come in throughout the day, and priorities can move quickly as new issues come up. We're looking for someone who stays organized and even-keeled at that pace — someone who can take a sudden change in plans in stride, stay solutions-focused, and keep things moving without getting rattled. Responsibilities

  • Documentation & Compliance QC
    • Review packing lists, commercial invoices, and inspection reports against PO data for accuracy — catching mismatches in cost, payment terms, quantity, or carton details before they become downstream problems
    • Extract and verify UPC label data against PO fields
    • Review GOTS Transaction Certificates for accuracy against PO data
    • Review and approve label content before it's released to factories for printing
    • Verify item dimensions and packaging specs against PO and product requirements
  • PO & Shipment Support
    • Track Sample POs and other shipments from request through delivery, including carton label creation, invoice/PL collection, and tracking confirmation
    • Support bulk PO tracking across factories: monitor ex-factory dates, booking confirmations, and vessel schedules; flag delays or discrepancies
  • Vendor & Cross-Functional Communication
    • Serve as a day-to-day point of contact for factories on documentation requests (packing lists, invoices, labels, tracking)
    • Communicate professionally and directly with vendors to close out missing or incorrect documentation
    • Coordinate with internal teams (Accounting, Product, Planning) to resolve shipment and invoice discrepancies
  • Systems & Reporting
    • Maintain accurate records in NetSuite and Excel-based tracking tools
    • Support reporting on shipment status, QC findings, and open documentation items
    • Use AI tools (e.g., Claude) to support repeatable QC and documentation workflows where applicable
  • General Operations Support
    • Take on additional documentation, tracking, or coordination tasks as they arise — the responsibilities above are the core of this role, not the limit of it, and the scope is expected to evolve as Pact's Operations needs grow

What Success Looks Like

  • Within 30 days: independently reviewing packing lists, invoices, and inspection reports against PO data, with few errors escaping QC
  • Within 60 days: factories and freight partners see you as a reliable, responsive point of contact — documentation issues get resolved without needing escalation
  • Within 90 days: proactively flagging discrepancies and delays before they become problems, not just reacting to them after the fact
  • Ongoing: NetSuite and tracking records stay accurate and current without requiring cleanup or double-checking by others

Requirements

  • Required
    • 2-4 years of experience in supply chain, logistics, import/export compliance, or a related coordination role
    • Bachelor's degree preferred, or equivalent practical experience
    • Strong working knowledge of Excel is a must
    • Excellent attention to detail and comfort managing high volumes of data across multiple concurrent shipments
    • Strong written and verbal communication skills; comfortable corresponding directly with vendors and internal teams
    • Ability to prioritize and manage multiple time-sensitive workstreams in a fast-paced environment
    • A proactive communicator who surfaces potential issues, delays, or discrepancies early rather than waiting for them to escalate
    • A self-starter who can work through ambiguity — Pact is growing quickly, and our Operations team is lean, so this role needs to move fast and adapt as priorities shift
    • Demonstrated composure and professionalism when handling urgent, time-sensitive, or high-pressure situations
  • Preferred
    • Experience with NetSuite or a comparable ERP/order management system
    • Background in apparel, consumer goods, or textiles
    • Exposure to or willingness to learn AI tools (e.g., Claude)
    • Familiarity with GOTS compliance, freight/logistics terminology, or import/export documentation

Pay

Base salary: $65,000–$80,000, commensurate with experience. Eligible for an annual performance bonus of up to 10% of base salary.
